Position Overview for the Health Information Specialist:

  • Document Preparation and Management: Responsible for preparing, sorting, and processing documents received by patient care units. Scans documents for new patients and surgery patients, operates scanning equipment, and troubleshoots issues to ensure documents are accurately entered into the electronic patient record system.
  • Transcription and Communication: Assists physicians with dictation or transcription problems, mails or faxes reports to doctors' offices or providers as needed, and manages the transcription queue to ensure timely processing of dictated reports.
  • Record Management: Merges duplicate patient health records, uses vendor software for document incorporation into the EHR, and manages unit consolidation for paper medical records.
  • Clerical Support: Provides clerical support, meets productivity and quality requirements, and participates in department meetings to ensure effective document management processes.


Required Skills for the Health Information Specialist:

  • Education: High School Diploma or equivalent experience. Completion of a Medical Terminology Course is desired.
  • Experience: 0-2 years in a medical records department, physician's office/clinic, or medical billing service. Experience with Document Imaging or Forms Management standards is preferred.
  • Skills and Knowledge: General knowledge of Document Imaging/Forms Management. Familiarity with EHR system applications, preferably Epic. Strong organizational, prioritization, and attention to detail skills. Proficiency with Microsoft Office Suite and ability to learn new software systems.
  • Communication: Consistently communicates with respect, kindness, and understanding. Maintains confidentiality and adheres to the Medical Center's standards for patient confidentiality and conduct. Engages in effective verbal and written communication with individuals and groups.
