IntePros is seeking a Documentation Specialist for one of our client's, a leading health insurance provider in the Greater Philadelphia market place. This role will have onsite requirements in Philadelphia, PA.


Job Title: Documentation Specialist

Job Description:

The Documentation Specialist will be responsible for managing the lifecycle of client agreements and contracts, ensuring timely and accurate processing in compliance with internal SLAs. This role involves drafting, triaging, and tracking agreements, onboarding new clients, and managing access requests for PHI. The ideal candidate will work closely with Client Implementation, Account Management, and other internal teams to ensure smooth and efficient documentation processes.

Key Responsibilities:

  • Document and Track Agreements: Maintain and update the lifecycle of each client agreement and contract using Outlook, Excel, and SharePoint.
  • Draft Client Agreements: Prepare assigned client agreements promptly to meet internal service level agreements (SLAs).
  • Triage Requests: Distribute agreement and contract requests to appropriate team members for handling.
  • Process Onboarding Agreements: Ensure onboarding agreements and forms are complete and accurate. Collaborate with Client Implementation and Account Management to obtain any missing or incorrect documentation, and track the status of each client's process.
  • Manage PHI Access Requests: Process requests for access to Protected Health Information (PHI), ensuring appropriate agreements are in place before approval.
  • Internal Collaboration: Attend meetings with internal business partners to provide updates on the status of agreements, contracts, and forms for each client.

Skills and Qualifications:

  • Advanced MS Office Skills: Proficiency in MS Word, Excel, SharePoint, and Adobe PDF editor.
  • Multi-Tasking Ability: Capable of managing multiple tasks in a fast-paced environment with strict deadlines.
  • Attention to Detail: Highly organized and detail-oriented, with the ability to track and manage the status and lifecycle of multiple documents, contracts, and agreements.
  • Independence and Initiative: Ability to work independently to complete tasks and provide direction to various levels internally and cross-functionally.
  • Preferred Experience: Previous experience in technical, legal, or contracts writing. Experience in health insurance is a plus.
