Necessary Skills

  • Experience providing high- level administrative support to ensure efficient operations of the office
  • Experience answering phone calls, scheduling meetings, and supporting the CEO
  • Administrative duties such as typing, copying, binding, scanning, etc
  • Exhibit polite and professional communication via phone, email, and in-person
  • Excellent organizational and communication skills
  • Complete tasks efficiently with a high degree of quality, attention to detail and consistent communication
  • Remain calm through the whirlwind of urgent matters
  • Ability to multi-task and thrive in a fast-paced environment
  • Beginner graphic design skills (make flyers, social media templates, update website, etc)
  • Be able to prioritize important tasks

Duties and Responsibilities

  • Report incoming information like phone calls, messages, and emails to CEO
  • Serve as the main contact for CEO preventing routine interruptions
  • Prepare agendas for meetings, confirm attendees, and organize catering when necessary
  • Work with the CEO to prepare presentations and materials for meetings
  • Demonstrate excellent communication, time management, interpersonal, and organizational skills
  • Maintain strict deadlines and confidentiality
  • Manage company social media accounts
  • Coordinate thank you notes and gifts for celebrations or appreciation as directed by the CEO.
  • Provide tours of the office to prospective agents while demonstrating the value proposition of the company
  • Update and maintain information in contact management database
  • Help develop business prospecting and marketing strategies to attract prospective agents
  • Research relevant business resources, competition, and industry updates as needed
  • Plan appreciation and celebration events
  • Create marketing flyers and graphics for the brokerage and agents


Qualifications

  • Bachelor’s degree preferred
  • 2 years related experience
  • Working knowledge of Microsoft Word, Excel, PowerPoint, Google Suite, Canva
  • Familiarity with real estate terminology a plus, but not required

Compensation

  • $50,000/yr
  • $375/mo. Medical coverage reimbursement
  • PTO accrual at 12 days per year


Schedule:

  • 8 hour shift
  • Monday to Friday
