This position is crucial to ensuring the smooth operation of our legal practices by managing attorneys' calendars, client appointments, and critical case deadlines.


Key Responsibilities

  • Coordinate and schedule appointments, hearings, depositions, mediations, and court dates for attorneys and clients.
  • Maintain and update the firm's master calendar, ensuring no conflicts and that all deadlines and legal obligations are met.
  • Communicate effectively with clients, witnesses, court personnel, and other legal professionals to confirm and reschedule appointments as needed.
  • Monitor and track the status of cases and important deadlines, such as filing dates, discovery deadlines, and statute of limitations.
  • Review and confirm scheduling requirements for court appearances and legal events.
  • Prepare and send reminders for meetings, deadlines, and critical legal dates.
  • Assist with maintaining accurate case files and documentation.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Provide general administrative support to attorneys and legal assistants as required.


Qualifications

  • Required: At least 2 years of experience working in a legal environment, such as a law firm, court system, or legal department.
  • Strong understanding of legal terminology, procedures, and court rules.
  • Proficiency in using legal calendaring software and case management systems.
  • Excellent organizational skills with the ability to prioritize multiple tasks in a fast-paced environment.
  • Strong verbal and written communication skills.
  • High attention to detail and accuracy.
  • Ability to work independently while contributing to a collaborative team.
  • Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.


Preferred Skills

  • Knowledge of specific areas of law, such as family law, personal injury, or criminal law.
  • Familiarity with case management software (e.g., Clio, MyCase, or similar platforms).
  • Experience managing high-volume calendars and understanding the time-sensitive nature of legal work.
  • Paralegal certification or training is a plus but not required.


Education

  • Bachelor's degree in any field is required.
  • Paralegal certification or legal administrative training is preferred.
