The Office Administrator will be responsible for ensuring the smooth operation of day-to-day activities in the office. This role involves managing administrative tasks, coordinating office operations, and providing support to staff to ensure a productive and efficient workplace. This person will have the ability to play an instrumental role in supporting all office operations.

Responsibilities include, but are not limited to, the following:

  • Maintain office supplies inventory by ordering and restocking as needed
  • Ensure the office environment is clean, organized, and functional
  • Coordinate with vendors for office equipment maintenance and repairs.
  • Handle all Company client gifts and events
  • Responsible for e-verification and I-9 process
  • Maintains I-9 files in accordance with company policies and legal compliance
  • Responsible for maintaining and updating state statutory compliance posters
  • Manage equipment return process and/or legal filings
  • Responsible for drafting employment & experience letters
  • Administrative duties for the accounting department include accurate review, code, and process vendor invoices
  • Ensure bills are paid in a timely and accurate manner while adhering to departmental procedures
  • Perform data entry associated with accounts payable
  • Review and reconcile invoice discrepancies
  • Address and respond to vendor inquiries
  • Wage garnishments
  • Assists Human Resources Director & CFO with day-to-day work as well as projects

Education/Experience:

  • Minimum of Associate degree in Business Administration, Accounting, Psychology, or a related field
  • 2+ years of experience as an Office Administrator, Administrative Assistant, or in a similar role
  • Experience with accounts payable is a plus
  • Strong time management and organizational skills
  • Ability to work independently and prioritize tasks, strong organizational skills & detail oriented
  • Experience with QuickBooks, ADP Workforce Now is a plus
  • Proven excellent customer service skills and ability to be flexible, a team player and interface professionally with all levels of internal and external customers
  • High level of proficiency with Microsoft Word, Excel, PowerPoint, and computer data entry required
