ESC’s premier client specializing in interior design, construction, painting, furniture, and installation is seeking a Furniture Project Coordinator to work onsite in Milwaukee, WI. The Furniture Project Coordinator works as a key team member in maintaining client relationships and works closely with the Account Executive, Furniture Designer, and Vendors to meet the project budget, cultural image, and functional goals of the organization. They coordinate the ordering, time management, logistics management, financial management, delivery, and installation, of contract furnishings which has a large impact on the project and the client’s overall satisfaction.


ESSENTIAL JOB FUNCTIONS:

  • Assist the Furniture Designer in taking detailed physical inventory of the client’s existing product to be re-used (if applicable).
  • Assist the Furniture Designer in providing the Account Executive with all information required and assist in putting together the proposal and/or presentation. Specifically, this includes manufacturer’s lead-time, time necessary to do any work in the field, special conditions or unusual product information and any assumptions made. Assist in communicating all details necessary for Design, Construction Project Managers and Account Executives.
  • Collaborate on aspects requiring joint input and decisions.
  • Open job in Khameleon business system. Monitor and maintain project costs. Verify that all appropriate client signoffs are in-house for the record. Deposit invoice per terms.
  • Prepare quotes for labor only projects with the assistance of the Field Services Manager
  • Assist the Furniture Designer with out-of-town labor quotes and manage all details related to the installation.
  • Review installation specifics and schedule with the furniture team
  • Manage warranty claims
  • Generate deposit invoices to customers for approved orders and final invoices for approved installations.
  • Assist the Furniture Designer in creating proposals in Khameleon for customer approval.
  • Place orders with the manufacturers verifying correct discount, lead-time request and “ship to” address.
  • Review all manufacturers’ acknowledgements for order entry errors and any extended lead-times. Make the furniture team aware of any unexpected delays. Troubleshoot project for potential problems.
  • Input all acknowledgements into the Khameleon acknowledgement portal.
  • Track orders and coordinate receiving of all products. Provide timely ongoing updates to the internal furniture team and client on an “as needed” basis.
  • Initiate installation by reviewing project and all documents with the Furniture Designer and/or the Field Services Manager & assigned lead installer.
  • Oversee the installation of all products. Answer questions from the installation team or client representative.
  • Expedite punch list. Order items to successfully complete job with the original budget in mind.
  • Review and update accounting reports on project weekly. Track labor costs vs. estimate and verify that payables are entered appropriately.


REQUIRED SKILLS:

  • 4-year college degree in interior design or interior architecture; associate’s degree with actual experience and knowledge may be substituted in some cases.
  • Ability to effectively present information and respond to questions from groups of managers, vendors, and other employees of the organization.
  • Requires the ability to use a computer, and electronic drawing software.
  • Proficient in AutoCAD, AutoCAD Architecture, CET, and Photo shop
  • Requires knowledge of and the ability to use a variety of standard office equipment and software such as Disto Laser Tape Measure, Microsoft Office-Word, PowerPoint, Excel, Outlook, Adobe, etc.
  • Knowledge of equipment such as matt cutter, KIP plotter, KIP scanner, etc.


PREFERRED SKILLS:

  • 1+ years of experience in design or furniture is preferred.
  • Plan reading skills
  • Ability to see space in 3D and be a 3-dimensional thinker
  • Strong analytical skills, creative problem solving
  • Detail oriented, highly organized, self-starter
