A financial services company in New Jersey is currently seeking an experienced Administrative professional to join their growing team as their new Administrative Clerk. In this role, the Administrative Clerk will be responsible for assisting with a significant office digitization project due to an upcoming office move, including handling confidential documents with care and maintaining confidentiality of all documents and processes.

Responsibilities:

The Administrative Clerk will:

  • Document sorting and organization, including
    • Categorizing documents based on content, sensitivity, and priority before scanning
    • Ensuring that all files are organized according to the company's filing system to facilitate easy retrieval
  • Data protection compliance, including:
    • Adhering to strict data protection and confidentiality protocols throughout the digitization process
    • Ensuring compliance with relevant laws and regulations related to document security and data privacy
  • Document indexing, including:
    • Inputting document metadata into the database to ensure all digital files are searchable and indexed correctly
    • Updating electronic records with new information as documents are scanned
  • Securing the disposal of sensitive materials:
    • Managing the secure disposal of original documents if they are no longer needed, following company policy and legal requirements
    • Operating shredders and other disposal equipment safely
  • Reporting and documentation, including
    • Maintaining logs of scanned documents for auditing purposes and ensure that all digitization activities are recorded
    • Reporting any discrepancies or issues with the documents to the supervisor immediately
  • Performing other duties, as needed

Qualifications:

  • 1+ year of related Administrative experience
  • High School Diploma / GED
  • Computer savvy
  • Microsoft Office proficient
  • Solid problem solving and time management skills
  • Great interpersonal skills
  • Excellent communication skills (written and verbal)
  • Strong attention to detail
  • Highly organized

Desired Skills:

  • Associate's and/or Bachelor's Degree
  • Experience in a Financial setting
  • Experience in handling confidential information
