JOB SUMMARY:
The receptionist/Inbound call handling position will be the third of the reception team answer and direct a high volume of inbound calls and answering-service messages to the appropriate departments, teams, or individuals; as well as greet, assist, and provide direction and information to clients, visitors, and other guests of the organization.
Duties / Responsibilities
- Answers a high volume of calls, screens, and directs phone calls to appropriate staff; deliver messages and insures they are delivered promptly and accurately
- Greets clients, visitors, and guests; determines the purpose of each person’s visit, directs or escorts him or her to the appropriate location and notifies personnel of visitor’s arrival.
- Receives some mail, documents, packages, and courier deliveries and delivers or distributes items. (We also have a facilities and mailroom team that handles the bulk).
- Performs some administrative and clerical support tasks for the reception area & conference rooms
Requirements:
The ideal candidate must possess the following attributes:
- Previous receptionist, call center, or some type of heavy phone experience
- Customer/Client service experience
- Professional telephone etiquette
- Active listening, verbal, and communication skills
- Ability to obtain information with a high level of accuracy
- Organizational, time-management skills and the ability to multitask & prioritize tasks
- Computer proficiency (Microsoft Office 365 suite)
- Ability to work within a team while handling individual responsibilities
- Adaptability, flexibility, and ability to perform in a dynamic working environment
The following attributes are highly desirable but not required:
- Proficient using various software platforms such as CRM, VoIP (Ring Central, Zoom)
- Salesforce experience (Litify or another legal CRM is a plus)
- Legal experience working in personal injury, products liability, class action/mass torts
- Two or four-year college degree
- Bilingual (Spanish)
