Position summary:

We are seeking a highly organized and detail-oriented individual to join our team as a Grant Manager (GM). This role is pivotal in ensuring the smooth operation of our research administration initiatives. The role reports to the Sr. Finance Manager. The GM manages all post award functions for grants and contracts for assigned divisions in the Research Admin POD. The GM will serve as principal source of information on grant policies and procedures including federal funding regulations, advises faculty, and enforces and provides input on existing and new post award policies and procedures.


Responsibilities:

Responsible for post- award management; manages portfolios which include basic and clinical research projects from Federal and non- Federal funding sources, program projects, philanthropic gifts and various sub-agreements. Prepares and manages budgets for grant and contract proposals, renewals, and periodic reports in accordance with NIH policies and trends.

Manages the post- award management of grants. Works with investigators to establish clear individualized grant management plans and follow up pro-actively regarding all aspects of grant management. Ensures regular grant meetings are held with investigators to discuss research progress, finance, and other issues.


· Organize and lead recurring department leadership meetings, providing updates on financial and compliance matters.

· Prepare Dean's snapshot goals and support portfolio meetings to track progress toward institutional research objectives.

· Conduct audits and compliance reviews to ensure adherence to regulatory standards and institutional policies across research activities.

· Coordinate the setup and management of new awards and grants, including budget oversight and financial reporting.

· Oversee the preparation of Research Performance Progress Reports (RPPRs) and continuation records for ongoing research projects.

· Facilitate PeopleSoft Financials (PSF) transaction approvals and ensure accurate and timely processing of financial transactions.

· Prepare and submit Prior Approval Requests and review financial transactions for compliance with grant terms and conditions.

· Manage clinical trials, both industry-sponsored and non-industry trials, ensuring compliance with protocols, regulations, and contractual obligations.

Provide additional administrative support as needed to ensure efficient departmental operations.

Personnel Management:

· Provide supervision and guidance to a financial analyst, ensuring efficient workflow and adherence to deadlines.

· Develop educational and training materials.

· Train and mentor new employees by providing guidance, supporting, and training necessary to ensure staff succeed in performing their job.

· Provide constructive input and take action to correct performance as needed.

· Oversee the interaction of new employees to ensure collaboration.

· Provide regular updates and evaluations of new employees to program director.

· Function as a resource for new employees and troubleshoot challenges that may arise.


Additional Responsibilities:

· Demonstrate a broad and in depth knowledge of intramural and extramural government regulations, policies and procedures to support faculty and inquiries relating to pre- and post-award policies and practices.

· Serve as principal source of information on complex grant policies and procedures including federal funding regulations, and advises faculty and staff on existing options or alternatives.

· Other duties as assigned.


Minimum Qualifications:

· Bachelor of Arts degree in business, finance, or related field

· 5+ years of experience, including pre- and post-award grants submission / management, or the equivalent combination of education and experience.

· Extensive knowledge of grants related topics including budgets, contracts and compliance issues for federal and non-federal grants, fellowships and contracts.

· Excellent communications skills (oral and written) required.

· Basic database management skills and excellent computer skills.
