Our Senior Advisor and Founder has been serving retirees for over 30 years. We are seeking a professional with a care-focused and nurturing approach to working with high-net-worth retirees and their families.


Role Description

We are seeking a highly organized and personable Executive Assistant and Client Services professional to join our boutique team of five at Life By Design Investment Advisory Services in Dana Point, CA. This position offers the opportunity to support the CEO and contribute to the efficient functioning of our growing wealth management firm, ensuring exceptional service for our high-net-worth clientele.


As part of a smaller firm, this role requires a broad range of skills, including office management, client engagement, and community outreach. The ideal candidate will thrive in a dynamic environment and possess experience in a Registered Investment Advisor (RIA) setting or a related field.


Key Responsibilities:

  • Providing high-level executive administrative support to the CEO, including scheduling appointments, managing expense reports, and preparing client materials.
  • Assisting in the coordination of client service operations to ensure a seamless client experience.
  • Managing confidential and sensitive information with the utmost discretion.
  • Coordinating high-touch events, meetings, and personalized client gifting programs to reflect the firm’s commitment to excellence.
  • Developing strategic relationships with local CPAs, attorneys, and senior-market organizations to enhance client resources and create meaningful partnerships.
  • Supporting local marketing activities as a liaison between the firm and the Marketing Director, including maintaining office supplies, print materials, client correspondence, and community outreach.
  • Engaging with local organizations such as women’s clubs, the Chamber of Commerce, and small community events to promote and develop the firm’s niche as a boutique wealth management practice.
  • Providing HR administrative support as needed to facilitate a growing and dynamic firm.

Desired Skills and Qualifications

  • Experience: At least 5 years in an Executive Assistant or similar administrative role, ideally in the financial services industry (e.g., banking, tax, insurance, estate planning, or RIA). Candidates with related background experience will also be considered.
  • Bookkeeping: Familiarity with bookkeeping or financial tracking processes is highly desirable.
  • Organization: Exceptional organizational skills, a keen attention to detail, and the ability to manage multiple priorities effectively.
  • Communication: Strong verbal and written communication skills to build and maintain client and community relationships.
  • Relationship Management: Ability to develop and nurture client and community relationships, including collaboration with professionals such as CPAs, attorneys, and senior-focused organizations to enhance client support and business development initiatives.
  • Technology Proficiency: Advanced proficiency with tools such as Microsoft Excel, Google Workspace, Zoom, Wealthbox, RightCapital, Smart RIA, and Loom.
