SUMMARY

Reporting to the Dept. Head, Human Resources, provide general administration, office administration support and assistance and other office and related task and responsibilities.

RESPONSIBILITIES

  • General Office Administration in a corporate environment
  • Manage and maintain office, office inventory, laptop, phones, assets, corporate phone plan, shipping, Fedex, UPS, Amazon, and office supplies.
  • Ability to lift to 25 pounds in an office setting is required.
  • Required: Experience managing a small car fleet (or previously worked in the car fleet co/ car dealership). Manage registration, recalls, track mileage reporting, maintenance.
  • Experience with FAVR, or a similar car plan is a strong plus
  • Organize and assist with office and team events, onsite/offsite
  • Support in the preparation of new hire onboarding for equipment and email account set-up by coordinating with HQ and our USA HR. (This is not an IT role but needs to be tech savvy and able to coordinate with IT and follow instructions)
  • Assist in the management of our USA Verizon telephone account ensuring accounts are appropriately assigned and active, and inactive accounts must be terminated and recycle accounts for terminated employees must be completed as necessary for cost containment.
  • Perform a wide range of general administrative, coordination and assistant duties, including employee parking, security, building and office maintenance by reporting to building engineer, security and management.
  • Applies knowledge of principles, practices, and procedures in various functional areas.
  • Support Administration in handling general affairs and office management including company events activities
  • Support in the procurement/inventory control of laptop, iPad Pro, employee cellphones, office supplies and stationeries, pantry supplies, etc.
  • Manage and maintain office pantry.
  • Provide employees Help Desk triage and coordination. Collaborate and report to HQ IT and/or Brazil IT for any technical assistance for our USA employees.
  • Prepare reports, set-up meetings, research or gather information, etc., to support general office activities.
  • Perform other tasks as required for the general office administration.
  • Provider reports to management via Excel, Word and Powerpoint
  • Ability to take calls as need occasionally with offices in other time zones (can work flex schedule on those days

QUALIFICATIONS

  • Demonstrated administrative services.
  • Demonstrated car fleet office management
  • Strong computer skills and proficient in MS application (Excel, Word, and PowerPoint).
  • Attention to detail.
  • Demonstrated high customer satisfaction and strong interpersonal skills.
  • Ability to keep and maintain confidential company data and records.
  • Ability to handle multiple tasks and prioritize.
  • Ability to communicate and collaborate with the different levels in the company
  • Associates or Bachelor’s Degree in Administration, Management, or related field.

COMPENSATION: $35-$40/hr.
