About the Role

The Business Support Specialist is responsible for providing administrative support for the front desk and other multi-functional departments by answering incoming phone calls, greeting visitors, and performing general business support functions.


Responsibilities

  • Answer incoming phone calls from customers and vendors and direct them to the correct department.
  • Greet guests as they enter the office, notify internal associates as necessary.
  • Issue visitor badges and maintain the sign-in log.
  • Establish and maintain effective communication and working relationships with associates and management.
  • Follow and maintain established office safety procedures.
  • Respond to emails timely and professionally.
  • Perform general business support functions to include but not limited to confidential filing, editing documents, reviewing data, creating spreadsheets, address labels and envelopes for mailing and other administrative duties as required.
  • Perform accounting support functions including statement review, preparing deposits, cash application, and data entry.
  • Attach invoices and supporting documents for service billing.
  • Perform ad-hoc projects and other duties as assigned.
  • Provides support for other executives as needed.
  • Coordinate, organize and execute special projects as assigned.


Education

  • High school degree or GED (Required)
  • Two or Four-year college degree (Preferred)


Qualifications

  • Receptionist, front desk and/or administrative support

  • Courteous and friendly disposition with a strong customer focus.
  • Ability to effectively handle multiple tasks simultaneously and collaborate within a multi-functional team environment.
  • Detail oriented, organized, with a high level of accuracy.
  • Excellent interpersonal and communication skills, verbal and written.
  • Demonstrated proficiency with Microsoft Office Suite.
  • Punctuality and good time management skills.
