Executive/Personal Assistant to CEO of Investment Firm

A successful venture capital firm that has been in business for over 4 years is looking for an Executive/Personal Assistant to support the CEO and in an office that has 8 employees. The role is 80% business and 20% personal duties. The office is located near Maritime Plaza and upscale has a view of the bay. The position is hybrid – 4 days in office and 1 day remote (Fridays). The company has a friendly, collaborative culture. The company orders lunch for the entire firm twice a week.
About the Job:
Vet and prioritize the CEO’s emails and answer on his behalf
Prepare and edit correspondence, reports, and presentations
Conduct research and gather information on behalf of the CEO
Attend and take notes during meetings, distribute agendas, and coordinate follow-up actions
Prepare materials for Board meetings
Handle confidential and sensitive information with discretion
Screen incoming phone calls delivering detailed, timely messages to the appropriate parties
Maintain an ever-changing calendar
Keep the CEO on track
Schedule internal and external meetings
Plan events and team-building activities and actively contribute to culture building.
Create and maintain files and databases
Coordinate complex travel arrangements including flights, cars, hotels, and other reservations
Process expense reports
Assist on the personal side with running errands, plan events, buy gifts, picking up dry cleaning
Office Manager duties: pay bills, order supplies, stock the kitchen, contact vendors for repairs when needed
Limited off-hour availability via text
About You:
Minimum of 10 years of experience in a related support position
BA/BS from a college or university
Experience at an investment firm preferred
Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
Dynamic and proactive comfortable in a fast-paced environment.
Polished, professional demeanor, proactive go-getter; no task is too big or too small
Outstanding communication skills
