The Office Assistant will report to the Executive Assistant and President and will provide general office support to the President, Vice Presidents, managers and employees, including executing a variety of administrative/clerical activities and related tasks as assigned to maintain an efficient office environment. The Office Assistant works cooperatively with the Executive Assistant to the President to seamlessly execute tasks as requested and provide backup as needed.



Responsibilities

  • Answers telephones and directs the caller to other Frye personnel, greets and directs visitors to the company, and processes incoming and outgoing postal/express mail.
  • Works as a member of the team, willingly providing back-up support for President, Senior Vice President and Executive Assistant to the President.
  • Assists with the completion of special projects, including working collaboratively with staff to reach deadlines.
  • Maintains the corporate electronic filing system.
  • Assists the with the maintenance of office supplies by checking inventory and ordering as needed; assists with the scheduling of maintenance for office equipment, such as copier, fax, and postage meter; assists with other clerical duties, such as photocopying, scanning and faxing.
  • Set-up conference room prior to meetings.
  • Executes other duties as assigned.


Qualifications

  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Excellent written and verbal communication skills
  • Ability to multi-task, organize, and prioritize work


Job Knowledge, Skill and Abilities

  • Requires high school diploma or equivalent; Associates degree, preferred.
  • Computer proficiency, specifically Word, Excel, Outlook and Internet applications. Working knowledge of office equipment, e.g., printers, copiers, postage meter, etc.
  • Excellent verbal and written communication skills required.
  • A professional appearance and telephone manner is essential.
  • Ability to work independently on assigned tasks, as well as accept direction on given assignments.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Flexibility and reliability.
  • A highly resourceful team-player, with the ability to be extremely effective independently.
