Job Summary:
We are seeking a dynamic and highly organized **Sales Executive Assistant** to support the CEO of a fast-paced, executive-level headhunting firm. This role requires a self-motivated, technically savvy individual with a strong background in sales and administrative support. The ideal candidate will be experienced in managing executive calendars, coordinating high-priority tasks, and working in a high energy, results-driven environment. A passion for the sales process, the ability to thrive under pressure, and familiarity with CRM tools—especially Bullhorn or similar recruiting CRMs—are essential. This position is based in our Charlotte office, and we are looking for someone local and ready to be part of a collaborative, high-stakes environment.
**Key Responsibilities: **
Calendar & Schedule Management:
• Manage and coordinate the CEO’s busy calendar, including meetings (internal & external), and some personal meetings.
• Prioritize daily and weekly tasks based on business needs and urgent deadlines.
• Provide timely reminders and updates for upcoming appointments and events.
Sales Support:
• Assist with managing sales pipelines, tracking leads, and ensuring follow-ups are completed in a timely manner.
• Provide administrative support in preparing proposals, contracts, and sales materials for clients.
• Maintain accurate records of candidate communications and sales activities within the CRM system.
• Help prepare reports and analytics to track sales performance and opportunities.
CRM Management:
• Utilize Bullhorn or other CRM tools to track candidate and client interactions, manage contacts, and organize opportunities.
• Ensure that all sales-related data is updated and kept current, helping the CEO and sales team stay on top of priorities.
• Provide support in creating and managing candidate profiles, client profiles, and job placements.
Communication & Client Interaction:
• Act as a liaison between the CEO and candidates and internal teams.
• Assist with preparing the CEO for candidate and client calls with prep beforehand.
• Ensure high-level customer service and professionalism in all interactions.
Problem Solving & Adaptability:
• Handle a range of administrative and sales-related challenges with resourcefulness, urgency, and a positive attitude.
• Help the CEO manage fast-paced work demands, shifting priorities, and tight deadlines.
• Be proactive in identifying opportunities for process improvements and efficiency.
Qualifications:
• Experience: At least 5 years of experience supporting senior-level executives in a sales, recruitment, or related environment.
• Technical Skills: Proficient in Microsoft Outlook, calendar management, and other office software. CRM experience, ideally with Bullhorn or a similar recruiting system, is a plus.
• Sales Environment Experience: Proven track record of working in a fast-paced, sales-driven environment; experience in a headhunting or recruiting firm is a bonus.
• Attention to Detail: Exceptional organizational and multitasking skills, with the ability to prioritize competing demands effectively.
• Communication Skills: Strong verbal and written communication abilities, with a professional and approachable demeanor.
• Self-Starter: A proactive, "hungry" attitude with a willingness to go above and beyond to support the team and the CEO.
• Location: Must be based in or near Charlotte, NC, and comfortable working in an in-office environment.
