Property Management Manager II

FCPT seeks an exceptional candidate to join the team as a Manager, Property Management II reporting to the Asset Manager. This position will work as part of a small six-person property management team in a fast-paced and highly collaborative environment, assisting the property management, accounting, and acquisitions teams with property management administration. The role will also actively support legal and asset management functions within FCPT and will benefit from direct interaction with the legal, accounting, and asset management teams. DUTIES AND RESPONSIBILITIES:
- Manages all aspects of property management for assigned portfolio region(s), including:
- tenant requests for repairs, maintenance, and landlord approvals,
- requests for information and manages tenant or landlord capital improvement projects
- Supports property management team through management of facility management software and other ancillary tasks required
- The manager provides outstanding, timely service to tenants on all property management issues
- Review, understand, and accurately analyze legal documents, leases, and related documents, including those of significant complexity; summarize information; share analysis with others as appropriate.
- Use advanced written and verbal communication skills to communicate frequently with various parties (e.g., tenants, outside counsel, government entities, FCPT stakeholders) to make formal requests, provide information, answer questions, and ensure issue resolution.
- Use information obtained through research to determine rights, responsibilities, issues, and implications for FCPT; identify, recommend, or implement appropriate follow-up actions as needed to address issues and mitigate risk.
- Interact closely with tenant contacts, external vendors, construction professionals, and consultants to coordinate property management matters
- Manage new vendor and utilities setup, including obtaining W9s and Certificates of Insurance
- Maintain and update insurance certificate files for all contractors performing work at the properties.
- Assist with scheduling contractor work and coordinating with tenants.
- Assist with FCPT insurance program, including binding insurance for acquisitions.
- Coordinate tenant move-in and move-out inspections.
- Managing property-level inspections and maintenance (fire inspections, backflow testing, septic cleaning, etc.)
- Manage property contracted services (landscaping, snow removal, fire inspections, backflow testing, septic cleaning)
- Represent the interests of FCPT by understanding the business and its specific needs; work to efficiently resolve issues with legal implications to mitigate risks and avoid issue escalation by applying knowledge of the business, policies, laws, rules, and regulations.
- Invoice approval for all property-related expenses, including quarterly accruals or other incremental reporting, as may be required by accounting or other departments.
- Determines FCPT responsibility and communicates to the accounting team responsibility for certain property-related payments, including operating expenses (CAM), real estate tax, insurance obligations, utilities, prepaid rents, and security deposits.
- The property manager is the primary contact between property management and accounting teams for questions concerning responsibility for property-related payment obligations.
- The property manager liaises between FCPT, tenants, and shopping centers regarding each party's review and compliance with such payments.
- Assist in performing CAM, operating expense, insurance, and tax reconciliations/calculations.
- To ensure accuracy, the property manager works with accounting to audit operating expense billing (estimated prepayments and reconciliation).
- Assist with collections/tenant billings, including working with legal to prepare and monitor delinquency and default notices.
- Interacting and working closely with others in property management, as well as accounting, legal, and asset management teams
- Escalate significantly complex issues and questions to Asset Management and Legal as appropriate.
- May assist with some leasing, subleasing, estoppels, takings, and easements.
- Additional special projects may be assigned as required.
QUALIFICATIONS:
- Three to five years of commercial multi-tenant property management experience.
- Effective organizational, communication, and problem-solving skills; ability to handle multiple priorities and meet established deadlines efficiently; self-starter.
- Adaptability to changing demands.
- Ability to read and interpret real estate leases, including all related lease documents.
- Experience with MRI or other real estate accounting software.
- Detail-oriented, analytical, and computer literate with proficiency in Word, Excel, PowerPoint, and Outlook.
- Organized with the ability to multi-task while keeping track of priorities, managing projects to completion, and maintaining big picture focus.
- The possession of a bachelor's degree or equivalent from an accredited college or university with major coursework in real estate, accounting, business administration, or a related field (or equivalent experience) is required.
- A proven record of providing excellent internal and external service.
- Superior communication skills, both verbal and written.
