Sample Production Coordinator

The Sample Production Coordinator is responsible for obtaining, organizing, and maintaining all BISBY inventory samples in our Lexington, Kentucky based office. They will own the logistics for each inventory sample needed to support the sales team, photoshoots, and social media content development. They will know where the sample inventory is at all times through consistent vendor communication and staying up to date on our in-house fulfillment. The Sample Production Coordinator has a pulse on the expected delivery of every sample and works across departments; Design, Sales, and Marketing, to ensure timely arrival of samples to execute key initiatives for the company.


Core Responsibilities


  • Manage and track all samples by coordinating with vendors, sales team, and the production team.  
  • Log which samples have been sent to which markets and track their whereabouts
  • Request samples, in accordance with sales timeline, from vendors for all wholesale markets.  
  • Track sample payment needs through communication with the buying team, vendors and accounting department.
  • Maintain log of sample pricing and negotiate unit costs in tandem with the buying and design teams
  • Work with the technical designer to approve fit and relay fit comments to the vendors
  • Organize and maintain Tech Packs for all styles and vendors 
  • Maintain sample orders and update them as designs are modified
  • Attend design meetings to collaborate with design team on sample needs
  • Enter garment care and material breakdown into Shopify before product go live
  • Enter size charts for all new body styles each season and maintain existing size charts

Qualifications

  • 1-2 years of experience preferred
  • Bachelor's Degree in a relevant field preferred
