Position Overview:


The BMitzvah and Shabbat Administrator is an integral part of the program staff at Mishkan Chicago, bridging the gap between the ritual preparation and logístical needs for both BMitzvahs and family programs at our twice monthly Shabbat services.

This position coordinates various logístical aspects of both programs and works onsite to ensure smooth operations during Shabbat.

The BMitzvah and Shabbat Administrator works closely with the Director of Youth & Teen Experience and the Live & Hybrid Events Producer and is a touch point for Mishkan families exploring Shabbat and preparing for BMitzvahs.


This is a part time, hybrid position that can expect to work 20-25 hours per week, including on site during Saturday services twice a month.


What You'll Do:

Administrative & Logistical Support for Public & Private BMitzvahs (50%)

  • Maintains master BMitzvah spreadsheet, tracking dates and Torah portions for current BMitzvah cohort and families in the date selection/BMitzvah pipeline.
  • Tracks and supports logistics around date selection for 4th grade families entering the BMitzvah pipeline.
  • Updates Mishkan's BMitzvah Playbook as needed.
  • Initiate logístical conversations with families 68 prior to ceremony and tracks logístical items for the Shabbat team.
  • Serves as first point of contact with BMitzvah families around ceremonies as questions arise and includes relevant staff as needed.
  • Meets regularly with the Live & Hybrid Events Producer & Director of Youth & Teen Experience for BMitzvah logistics flow.
  • Organizes end of year Siyyum (completion), BMitzvah gifts and orientations in collaboration with Director of Youth & Teen Experience.

Administrative & Logistical Support for Family Shabbat Programs (20%)

  • Maintains family programs Shabbat supplies in collaboration with the Director of Early & Elementary Family Life.
  • As needed, supports oneoff family programs for Friday night Shabbat services
  • Supports logistics and flow between multiple, overlapping Family Shabbat programs in collaboration with Live & Hybrid Events Producer.
  • Orders snacks and supplies weekly for Family Shabbat
  • Supports logistics of High Holiday family programming.

Producer of Family Shabbat Programs (20%)

  • Collaborates with Shabbat Producers to load in all supplies for Saturday Shabbat Services
  • Sets up and strikes space and supplies for all Family Shabbat Programs
  • Manages flow of Family Shabbat Programs, flipping spaces as needed, and ensuring facilitators have the support they need.
  • Supports production of High Holiday family programming, both working on advance logistics and producing on Rosh Hashanah and Yom Kippur.

Support for BMitzvah Families - Public BMitzvahs (10%)

  • Greets and orients families as they arrive for Public BMitzvah Ceremonies
  • Handles logístical dayof elements specific to B'Mitzvah families (orients photographer, organizes reserved seating, receives and organizes any special decorative elements).

What You'll Bring:

  • Experience working with children, teens and families.
  • Experience in a customer service facing industry, including hospitality, events, or other equivalent experience.
  • Meticulous attention to detail, and experience building and maintaining systems for tracking information. Experience with project management based software and CRM systems preferred.
  • Charisma and warmth when working with community members and Mishkan families.
  • Familiarity with Jewish traditions.
  • Experience working in collaborative environments.
  • Ability to lift 30 or more pounds.

Where You Work:

Hybrid work environment with our main office located at 4001 N. Ravenswood Avenue in Chicago as well as holiday and prayer service venues across Chicago.


This position requires work on Jewish holidays, the High Holidays, Shabbatot (some Friday nights and all scheduled Saturday mornings), and some Sundays, with a mutually agreed upon work schedule.
