Academic Student Personnel and Payroll Coordinator

Under the general supervision of the Manager, Academic Personnel and Human Resources, the Personnel and Payroll Administrator is responsible for the department's day-to-day payroll operations and acts as the department's official payroll contact.

The incumbent provides guidance on employment-related policy and procedure, establishes and maintains personnel payroll records and databases, and processes personnel actions for Graduate Student Researchers (GSR) appointments and payroll transactions in UCPath.

Initiate and process their merit advancements quarterly. Process quarterly remission fees for both resident and non-resident GSRs.

The incumbent must use various HR and payroll systems, e.g UCPath, a single payroll, benefits, HR and academic personnel solution for all UC employees.

The incumbent is responsible for the management and administration of Psychology's complex payroll functions, including all audit, analysis and reconciliation activities to ensure processes are in compliance with University policies, procedures, and guidelines, and appropriate to assigned funding sources.

Responsible for payroll accounting and assures positive resolutions on related errors that may negatively impact the Department.

Also responsible for the effort reporting function in conjunction with the Financial Services Unit and certifies efforts required as conditions of extramural awards by granting agencies.

Interprets University policies and procedures, labor contracts, and abides by federal and state wage laws when completing all payroll transactions and establishing internal (departmental) protocols and practices.

Advances issues and advises key stakeholders and unit management on problem resolution. Other duties and special projects as assigned by CAO and Manager of Academic Personnel and Human Resources.

Qualifications

  • Training and experience completing online Tracker I9 and of individuals hired for employment and compliance with UC I9/E-Verify Standard Procedures. (required)
  • Demonstrated ability to handle confidential and sensitive information according to University procedures and with a high level of integrity, diplomacy, discretion, and tact. (required)
  • Ability to analyze problems, evaluation and synthesize information, policies, and procedures, and the ability to problem solve. (required)

  • Demonstrated skill in using a PC, and intermediate to advanced knowledge of software such as MS Office, particularly Word and Excel. (required)

  • Working knowledge and understanding of the organizational and operational structures and mission of an academic department and their constituency. (required)
  • Understanding and experience with the principles, practices, and trends of payroll management, including but not limited to state and federal labor laws, labor contract pay requirements, and compliance with federal requirements pertaining to effort report. (required)
  • Strong ability to research and correctly and accurately interpret, apply, explain, and make sound independent payrollrelated recommendations based upon sound payroll and accounting principles in conjunction with University of California payroll and HR policy. (required)
  • Demonstrated record keeping and file management skills to organize, accurately document, and rapidly retrieve and organize data in a variety of formats. (required)
