The Administrative Coordinator is primarily responsible for ensuring that project information is complete and organized so the Project Management Team has all the detail and information required to manage each project efficiently and effectively.

This includes coordination between departments and communication with outside service vendors.

Responsibilities:

  • Reviews initial project folder and obtains all required documentation.
  • Resolves any pricing discrepancies with accounting.
  • Ensures alignment between Project PO, Quote, and Budget.
  • Maintains project files in company servers.
  • Updates spreadsheets and form letters, as necessary.
  • Maintains accurate production calendar.
  • Interfaces with various internal and external stakeholders.
  • Assists in coordinating the activities of service vendors.
  • Performs filing and record maintenance as required.
  • Handle other duties as assigned.

Qualifications:

  • 5 years of related experience as a project coordinator in the Hotel Industry/Manufacturing environment.
  • Handled multiple customers/ coordinating requests/customer compliance.
  • Strong attention to detail a must.
  • Must have extensive advanced knowledge in Microsoft Office, EXCEL, and Outlook.
  • Ability to follow through with details and document changes as requested.
  • Must be able to manage multiple requests, assess priorities and consistently achieve deadlines.
  • Excellent organizational skills are a must.
  • Must have strong communication skills, both verbal and written.
  • Spanish speaking is a huge plus.

Pay:
$ $25.00 per hour

Expected hours: 40 per week
