Job Title: Event Coordinator

Organization: Managed Care Organization

Position Overview: The Managed Care Organization is seeking an energetic and detail-oriented Event Coordinator to support our Community Engagement initiatives. This position involves planning and coordinating various events and projects, collaborating with internal departments and external partners, and ensuring the successful execution of community outreach activities.

Key Responsibilities:
  1. Support Community Engagement Specialists: Assist with major event planning, including logistical coordination and supply orders.
  2. Marketing Material Distribution: Coordinate the distribution of marketing materials to support event promotion and community outreach efforts.
  3. Communication Support: Collaborate with the Communications and Marketing Departments to develop event invitations, flyers, newsletters, and other communications materials.
  4. Reporting and Documentation: Assist in the development of Community Engagement reports and informational materials to track progress and outcomes.
  5. Volunteer Program Management: Provide guidance and oversight of the Volunteer Time Off (VTO) program, including recruitment, training, and coordination of event volunteers.
  6. Project Planning and Organization: Assist in planning and organizing project activities, collaborating with internal and external parties to ensure successful execution.
  7. Data Retrieval and Reporting: Retrieve data from various sources for compliance with financial, legal, and administrative requirements, and present information on departmental procedures and regulations.
  8. Event Confirmation and Engagement: Confirm event locations, arrivals, and audiences, disseminate information related to the Managed Care Organization's lines of business, and engage members and prospective members in the organization's value proposition.
Requirements:
  • At least two years of event and meeting planning experience, with demonstrated project coordination skills and the ability to meet defined deadlines and track tasks.
  • Associate degree or equivalent combination of education and experience.
Additional Information:
  • Typical Schedule/Shift: Intermittent weekday and weekend events, generally 4 hours at a time but could be longer, depending on event requirements. Pay $20/hr.
