The ideal candidate will provide administrative support and assist with accounting tasks using QuickBooks.

Key Responsibilities:

  • Administrative Support: Assist with day-to-day administrative tasks including filing, answering phones, and managing correspondence. Ensure the office is organized and efficiently run.
  • QuickBooks Management: Utilize QuickBooks to manage financial transactions, including data entry, invoicing, bill payments, and reconciliation of accounts. Ensure all financial data is accurate and up-to-date.
  • Tenant Relations: Handle tenant inquiries and requests professionally and promptly. Maintain positive relationships with tenants and provide exceptional customer service.
  • Record Keeping: Maintain accurate records of property management activities, including lease agreements, maintenance requests, and tenant communications.
  • Financial Reporting: Assist in the preparation of financial reports and statements. Provide support during audits and financial reviews.
  • Scheduling: Coordinate and schedule appointments, meetings, and property showings. Ensure all scheduling conflicts are resolved efficiently.
  • Supply Management: Monitor and manage office supplies inventory. Order supplies as needed and ensure the office is well-stocked.
  • Support Property Management Team: Assist property managers with various tasks, including preparing documents, organizing files, and managing property listings.

Requirements:

  • Experience: Previous experience as an administrative assistant or in a similar role is preferred. Experience with QuickBooks is required. Experience in property management is a plus.
  • Skills: Proficient in QuickBooks and Microsoft Office Suite (Word, Excel, Outlook). Strong organizational and time management skills.
  • Communication: Excellent verbal and written communication skills. Ability to interact professionally with tenants, vendors, and internal staff.
  • Detail-Oriented: Strong attention to detail and accuracy, especially in financial record-keeping.
  • Problem-Solving: Ability to handle issues and resolve conflicts efficiently and effectively.
  • Education: High school diploma or equivalent required. Additional education or certification in office administration, accounting, or property management is advantageous.
