About the Role:


We are looking for a highly motivated person with experience in the areas of Operations, Finance and Human Resources (HR), who is looking to join our team in the role of Director of Operations & Finance.

This team member will report directly to the CEO and interact with all executives and board members within the organization.


Responsibilities:

FINANCE AREA:

  • Ensure that the organization's overall operations are managed toward longterm sustainability.
  • Oversee and coordinate the development of budget planning and resource allocation.
  • Conduct financial analysis and forecasts and produce reports.
  • Engage the Board of Directors in the financial management and sustainability of the organization, including working with the Treasurer and Finance Committee on the presentation of financial information at Board of Directors meetings.
  • Supervise financial compliance and external annual audit process in alignment with GAAP.
  • Manage accounts payable, receivables, and reconciliation of books.
  • Establish and reinforce existing policies and procedures that protect the quality and integrity of accounting records.
  • Responsible for all accounting and payroll yearend reporting.

OPERATIONS AREA:

  • Create, streamline, and enforce organizationwide operations policies, procedures, and process documentation that leads to effective operational workflow across all levels of the organization.
  • Serve as primary liaison for all legal needs of the organization including insurance requirements, contracting, copyrights/trademarks, and general legal counsel.
  • Manage all facilities for the organization.
  • Oversee gallery operations and directly supervise Gallery Operations Manager.
  • Liaise with Board of Directors and C-Suite executives to make decisions for operational activities and help set and monitor strategic goals.
  • Manage all administrative functions and office operations, including, telecommunications, central filing and cloudbased file sharing, office supplies and equipment, delegations of authority, and purchasing requests.

HUMAN RESOURCES (HR) AREA:

  • Create and streamline organizationwide people operations/employee policies, procedures, and process documentation, including PTO, annual review process, recruitment, and onboarding and offboarding.
  • Serve as employment relations.
  • Handle all people operations employee paperwork and reporting ensuring compliance.
  • Work with the executive suite to forecast staffing needs.
  • Manage benefits suite and ensure proper payroll reporting and processing.
  • Lead internal culture committee and ensure all work culture goals are fostered and reinforced.
  • Ensure compliance with DOL and other relevant federal and state guidelines.
Other related duties will include event preparation, as a team activity, and other duties as assigned.

Position Type/Work Environment:

This is a full-time hybrid position. This position is expected to work at least three days per week at the St. Petersburg office.

  • Associates degree in business administration, finance, or human resources (undergraduate preferred).
  • 2 years of experience in business operations.
  • 2 years of supervisory experience.
  • Must be proficient with QuickBooks and Microsoft Suite.
  • Demonstrated experience in developing, managing, and implementing strategic goals, plans, and/or complex processes.
  • Must have strong attention to detail, a proactive and efficient approach to work, and the ability to create, implement and manage multiple projects at the same time.
  • Must be a strong communicator and have the ability to foster a collaborative work environment.
  • Must be able to work independently.

Preferred Additional Skills:

  • Experience with Asana or other similar project management software.
  • Experience with notforprofit organizations.
  • Experience with small business operations.
