Position Summary:


Manpower San Diego is assisting a client who is searching for an excellent team member for the Facilities department San Diego Facilities Site Services & Events function.

You will be partnering and interacting with other internal functional teams to provide a best-in-class customer experience. This position will provide support to the Facilities Help Desk team and the Events team.

You will be a liaison between internal customers, vendors, and team members in support of the Facilities management of our San Diego campus buildings.

You will also physically and logistically support meetings and events at the San Diego campuses. If you are detail oriented, motivated and passionate about providing the best customer experience, we'd love to hear from you

Responsibilities:
Answering and routing incoming phone calls appropriately
Submit work requests for customers as necessary.
Submit and track status for Facilities related safety tickets.
Checking and responding to customer emails promptly
Interact and collaborate effectively with other functions to drive solutions for customers.
Follow up with customers on satisfaction of services, repairs, etc. as necessary.
Review and assign Facilities work order requests as necessary.
Create and run weekly / monthly / quarterly work order metrics/reports for all associated departments.
Track and update status of work requests/work orders as needed.
Manage offsite document storage requests.

Events:
Manage conference room reservations and setups within Microsoft Outlook

Support meeting requirements, including but not limited to modifying room setup / breakdown as required (moving tables, chairs, etc.) and identifying pre- and post–meeting spaces.

Review and coordinate meeting and event work requests.
Assist with coordination of event rentals.
Maintain event supplies inventory.
Create badges, signage, and any other supplies needed for internal and external events.
Support San Diego Sr. Events Specialist with special onsite events and event planning as needed.
Participate in conference room audits and restocking of supplies.

Other :
Conduct building audits.
Install temporary site signage as needed.
Provide support to remote sites and other functional teams as needed.
Complete miscellaneous projects and other duties as assigned.
Required to break down and set up furniture and event equipment.

Qualifications:

  • Requires High School Diploma or equivalent
  • Minimum 2 years of work experience in facilities/property management/customer support preferred.
  • Able to pull data from the system and transfer into graphs
  • Ability to work cross-functionally
  • Able to do physical labor for periods of time. May set up and break down furniture and event equipment
  • Ability to escalate and troubleshoot issues in a timely manner
  • Flexible and adaptable as needed
  • Able to stand, walk and lift / move items up to 50lbs for long periods of time
  • Intermediate experience with Microsoft Office programs.
  • Experience with running metrics and reports.
  • Experience with Service Now or CMMS preferred.
  • Experience using software-based phone system is preferred.
  • Ability to communicate clearly and professionally both in writing and verbally.
  • Maintains a positive, empathetic, and professional attitude toward team members and customers at all times.
  • Willingness to complete a broad range of administrative responsibilities ranging from entry to senior-level.
  • Ability to multi-task in a fast-paced environment
Confidence to take delegated tasks and ask questions for clarification.
