Job Description



Job Responsibilities

  • Manage day-to-day operations of the Community Association business and liaise with the Board of Trustees/Directors and homeowners.


Essential Duties & Responsibilities



General:



  • Ensure adherence to the Board's policies, resolutions, and objectives.
  • Provide exceptional customer service and maintain effective communication with colleagues, homeowners, and the Board of Trustees.
  • Possess a general understanding of building systems and components.
  • Be on-call for after-hours emergencies.
  • Implement company and Association policies and procedures.
  • Assist in drafting an Emergency/Disaster Preparedness Plan for the Board's review, if required.

  • Utilize various FirstService systems effectively, including Connect, ADP, FirstClass, Avid, Accounting systems, and WelcomeLink.

  • Participate in regular training sessions and managerial meetings.

Fiscal:


  • Contribute to the preparation of the Association's annual budget and oversee its daily implementation.
  • Attend Finance Committee meetings to review the Association's financial status.
  • Coordinate the receipt and review of service invoices and ensure prompt bill payments.

  • Monitor and report monthly financials and provide necessary documentation for invoice payments.

Physical:


  • Create specifications for services received by the Association.
  • Manage the bid process, review proposals, and make recommendations to the Board.
  • Negotiate contracts for routine services with Board approval.
  • Oversee vendor relations and log work requests in Connect.
  • Conduct regular property inspections to ensure compliance with Rules and Regulations.

Governance / Administration:


  • Maintain all files, records, and correspondence according to company procedures.
  • Attend Board meetings and prepare necessary documentation and reports.

  • Supervise designated committees and maintain an annual calendar of association activities.

  • Review insurance policies to ensure adequate coverage and update homeowner directories.

Staff Management:


  • Build a strong team environment and manage performance of direct reports.
  • Lead team meetings, conduct staff evaluations, and support career development.
  • Ensure staff compliance with policies and programs, and support company initiatives.

Additional Duties & Responsibilities


  • Uphold FirstService Residential Global Service Standards and maintain professional conduct.
  • Assist with operations as needed to ensure workflow and schedules are met.
  • Participate in meetings to address issues and stay informed about new developments.

Supervisory Responsibility



Directly or indirectly supervise employees within the assigned properties.



Education & Experience


  • Bachelor's Degree or equivalent work experience.
  • Minimum 7 years of relevant experience, preferably in hospitality, property, or facilities management.
  • Minimum 2 years of project management experience.

  • Experience in managing staff, understanding budgets, and making sound decisions.

Knowledge, Skills & Proficiencies


  • Ability to apply state Statutes and Community's documents effectively.
  • Strong leadership, problem-solving skills, and interpersonal abilities.
    • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office applications and financial software.

  • Discretion in handling confidential information and managing complex accounts/projects.
  • Capacity to work well in a team, prioritize tasks, and identify business opportunities.

  • Familiarity with mechanical operations of buildings and equipment.
  • Strong organizational skills and ability to work under pressure.

Tools & Equipment Used



Utilize various computer applications, software tools, and office equipment.



Physical Requirements / Working Environment



The job may involve varying physical activities, including sitting, standing, lifting, and climbing stairs. Effective communication with clients is essential, both in person and over the phone. Must have proficiency in using standard office equipment and exhibit good reasoning and multitasking skills.



Travel:



Occasional travel to different sites or Regional offices may be required.
