POSITION SUMMARY:

The Summer Programs Coordinator is responsible for organizing and maintaining the operational functions of NYFA's summer programs at Harvard and to serve as a liaison and resource for students, faculty and staff. This position may function as an alternate for the face and voice of the Director when not immediately available.

The Summer Programs at Harvard offer workshops in filmmaking, acting, photography, musical theater and animation and include Teen Summer Camp offerings for campers aged 14-17 years old.

Effective Dates: Part Time: 6/20/2024 to Seasonal Full Time: 06/17/2023 to 8/6/2024

REPRESENTATIVE RESPONSIBILITIES:

The following responsibilities are general duties that a particular employee in this position may or may not be required to perform. The day-to-day duties required of this position may vary.
  • Assist with answering general questions in the lead up to program kick off
  • Assist with the scheduling of classes and programs for all summer programs
  • Responsible for upkeep of spreadsheets regarding valuable student information such as: food allergies, medical insurance, waivers and contact students for submission of information if needed
  • Assist with overall planning and logistics transportation, activities, food, tickets, permits, etc
  • Attend/Assist orientation/registration days throughout Summer
  • Day to day contact with parents and students in non-emergency situations
  • Supervise day to day operations on location/on campus when Director is not present
  • Supervise students well being and overall program engagement (the right hand of the Director)
  • Communicate any actual or anticipated obstacles with Director and support in managing them
  • Obtain and organize attendance for each class
  • Distribute weekly schedules to instructors
  • Perform Receptionist duties and facilities support
  • Maintaining flexibility amongst competing priorities and last minute changes
  • Support Post Department, Residential Director, and/or Equipment Room
  • Assist with program start dates and final screening preparations
  • Organize and maintain Office supplies and materials
  • Respond to any inquiries by phone or email from students, parents or staff in timely manner
  • Assist with other duties as assigned by Camp Director or Senior Administration
KNOWLEDGE AND COMPETENCIES:
  • Event planning background and or highly organized
  • Experience and or comfortable working with teenagers is preferrable
  • Minimum 21 years of age
  • Creative thinker with the ability to manage multiple projects, while meeting deadlines
  • Ability to work with diverse groups of campers, staff, parents and community members
  • Proven ability to manage multiple tasks while maintaining the ability to remain detailed oriented
  • Ability to think creatively and quickly to solve problems
  • Ability to work hard, respond to emergencies, and always maintain the safety and educational environment for the campers
  • Excellent interpersonal skills with demonstrated ability to develop and maintain positive working relationships with individuals from diverse backgrounds including campers, faculty and staff
  • Excellent written and verbal communication skills
  • Excellent skills in database management and record keeping
  • Excellent organizational skills and attention to detail
  • Strong customer service skills with the ability to meet and serve the public, both in person and by telephone, tactfully and effectively
  • Ability to work well in a team atmosphere
  • Perform basic math
  • Understand written procedures, write routine documents, and speak clearly; and understand multi-step written and oral instructions
  • Ability to work independently with minimal supervision
EXPERIENCE, EDUCATION, CERTIFICATION:
  • Bachelor's degree preferred
  • Intermediate proficiency with Microsoft Suites, Google Suites, Excel
  • Film/video production experience strongly preferred.
