Reports to: Accounts Payable Manager/Finance Manager
Employment Type: Full-Time

Job Overview:

We are seeking a detail-oriented and experienced Accounts Payable Specialist to join our finance team. The ideal candidate will have a minimum of 4 years of experience in accounts payable and be proficient in Deltek, our primary financial management software. This role is critical to ensuring that all company expenses are accurately recorded, approved, and paid in a timely manner.

Key Responsibilities:

  1. Invoice Processing:
    • Receive, review, and process vendor invoices.
    • Verify the accuracy of invoices and confirm that the correct general ledger accounts are charged.
    • Ensure that all invoices are properly approved in accordance with company policies.
  2. Payment Processing:
    • Prepare and execute weekly payment runs, including checks, ACH transfers, and wire payments.
    • Reconcile payment batches to ensure accuracy and completeness.
    • Resolve any discrepancies with vendors or internal departments promptly.
  3. Vendor Management:
    • Maintain vendor files, including W-9 forms, contact information, and payment terms.
    • Respond to vendor inquiries and resolve payment issues.
    • Establish and maintain positive relationships with vendors.
  4. Expense Reporting:
    • Review and process employee expense reports in compliance with company policies.
    • Ensure timely reimbursement of approved expenses.
  5. Reconciliation and Reporting:
    • Reconcile accounts payable transactions and prepare monthly aging reports.
    • Assist with month-end closing processes, including journal entries and account reconciliations.
    • Provide support for internal and external audits as needed.
  6. System Proficiency:
    • Utilize Deltek for all accounts payable functions, including invoice entry, payment processing, and reporting.
    • Continuously seek ways to optimize the use of Deltek for improved efficiency and accuracy.
  7. Compliance and Documentation:
    • Ensure compliance with company policies, procedures, and internal controls.
    • Maintain accurate and organized accounts payable records and documentation.

Qualifications:

  • Experience: At least 4 years of experience in accounts payable or a related field.
  • Software Proficiency: Strong proficiency in Deltek, including modules related to accounts payable.
  • Education: Bachelor's degree in accounting, Finance, or a related field preferred.
  • Skills:
    • Excellent attention to detail and accuracy.
    • Strong organizational and time management skills.
    • Ability to handle confidential information with integrity.
    • Effective communication and interpersonal skills.
    • Proficiency in Microsoft Office Suite, particularly Excel.
  • Attributes: Self-motivated, proactive, and able to work independently as well as part of a team.
