Our client, a school in Lower Manhattan, is looking to hire a Temp Special Events Assistant. The temp will be responsible for helping organize signature events, including the Breakthroughs Conference and the high-profile fundraising Founders Gala. Specifically, the Special Events Assistant will support the Chief Advancement and Communications Officer in all aspects of the planning, preparation, execution, and fundraising for these marquee events, as well as other special Development programs and initiatives. The schedule is Monday - Friday, 9am - 5pm. Hybrid - 4 days onsite and 1 day remote. Position will start late February/early March through early May 2024.

Responsibilities:

  • Manage operational tasks related to events, including updating fundraising data in database, preparing mailings and invitations, conducting donor and prospect research, scheduling meetings and keeping minutes, drafting agendas and correspondence, collecting program ads and event materials, taking RSVPs and conducting follow-up outreach, and updating information for event web pages and programs
  • Assist the Chief Advancement and Communications Officer in all aspects of the Founders Gala silent auction, including customizing the silent auction bidding platform for this years event and updating it with silent auction items, preparing outreach materials, researching contributions, processing donations, drafting correspondence and follow-up outreach for committee members and donors, and organizing and helping to stage items for the silent auction evening
  • Assist with the processing and preparation of invoices, receipts, donor materials, and acknowledgement letters for event contributions in a timely manner
  • Ensure clear and effective event schedules, coordinate day-of logistics, support staffing and volunteer needs and responsibilities for marquee events
  • Liaise with vendors and partners on event details and logistics
  • Communicate regularly with Chief Advancement and Communications Officer; create memoranda and reports throughout event preparation period
  • Maintain accurate tracking and processing of event revenue and expense budgets
  • Provide support for other Development events and programs
  • Collaborate closely with Chief Advancement and Communications Officer and department colleagues
Qualifications/Skills:
  • Degree required
  • 1+ years or internship experience in fundraising/or event experience
  • Proficient in using Raisers Edge or similar fundraising database software
  • Experience in using Givergy or similar fundraising event software; skilled at event platform development
  • Excellent computer skills including Google suite and Google sheets
  • Helpful and collaborative
  • Resourceful and adaptive, with a positive, solution-oriented approach to solving problems
  • Excellent written and verbal communication abilities
  • Strong organizational skills; detail-oriented and capable of handling multiple tasks, deadlines, and priorities simultaneously
  • Interpersonal and relational; demonstrated ability to engage with colleagues and supporters in a warm and helpful manner
  • Sound judgment and strong project management skills
  • Able to work collaboratively within a team and independently
  • Able to meet deadlines and thrive in an active environment where priorities may shift quickly
  • An affinity for the schools mission and vision
Pay rate:
  • $25 - $29/ hour pay DOE
