The Conference Services Manager at the American Airlines – The Landing at Skyview 6 is responsible for providing direction, supervision, and support for all Conference Services activities of the hotel and training facilities to ensure the highest levels of service and execution.

RESPONSIBILITIES:

  • Oversee all aspects of the daily execution of the hotel's Conference Services operation.
  • Monitor day-to-day Conference Services operations and take needed action to ensure standards of meeting presentation and service are being maintained.
  • Check meeting rooms & areas to ensure safety, cleanliness, proper set up, and sufficient supplies & equipment.
  • Circulate through meeting areas to ensure guest satisfaction; sincerely seek guest comments and quickly and willingly handle any complaints.
  • Make personal contact with guests and assist them with any requests.
  • Respond to guest inquiries and coordinate special arrangements and requests with Conference Planning.
  • Ensure overall guest satisfaction.
  • Keep immediate supervisor fully informed of all problems or matters requiring his/her attention.
  • Work with Conference Planning and keep them informed of any issues or discrepancies as they arise.
  • Communicates all meeting arrangements including any special requests to Conference Services set-up team.
  • Maintain up to date details on meeting functions and communicate to Conference Services staff.
  • Ensures that all conference furniture, equipment, rooms, and break areas are maintained in a clean and operable manner, including any dialogue or workshop suites when used for meetings.
  • Ensure inspection of all meeting areas for cleanliness and maintenance on a regular basis.
  • Control and maintain all service equipment. Write service requests as necessary.
  • Monitor and maintain the inventory of equipment and conference supplies.
  • Monitor and adjust the operating plan as needed based on business fluctuations.
  • Utilize computer programs to analyze forecast and cost reports and decisions based on that information to ensure effective expense controls.
  • Prepare and submit required reports, including (but not limited to) payroll, employee schedules, quarterly action plans in a timely manner.
  • Assign set-up tasks, supervise the work and performance of hourly Conference Services team.
  • Assist in developing and managing adherence to departmental policies and procedures.
  • Performs human resource functions for staff, including hiring, scheduling, training, and motivating.
  • Select, train, supervise, and schedule Conference Services staff in accordance with business needs, productivity, and service standards.
  • Conduct ongoing training of employees to maintain standards of service.
  • Conduct staff performance reviews in accordance with MCR standards.
  • Holds periodic meetings with Conference Services staff to review past and future performance of service, quality, general information concerning guest and employee relations, and upcoming daily functions.
  • Participate in required manager on duty coverage as scheduled.

REQUIREMENTS:

  • Must have employment eligibility in the U.S.
  • Strong command of the English language, both spoken and written.
  • Demonstrated ability to work collaboratively and communicate effectively, effectively interact with people of diverse socioeconomic, cultural, disability, and ethnic backgrounds at all levels of the organization.
  • Must be proficient in MS Office (Outlook, Word, Excel, PowerPoint).
  • High school education, GED, or equivalent experience required. Bachelors' degree with emphasis hospitality highly preferred.
  • Minimum 5 years of experience working within Conference Services and/or Planning required in a high-volume hotel, conference center or resort with at least three of those in a supervisory role.
  • Must have the ability to work varying shifts, including nights, weekends, and holidays.
  • Regularly required to sit, stand, walk, bend and use hands to handle objects, tools or controls.
  • Medium work - Exerting up to 50 pounds of force occasionally, and/or 20 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
