• Oversee the Project Management of the adjunct and student life cycle process with the design and coordination for the employee life cycle to ensure timely compliance with all applicable laws and regulations.


• Research, develops, and implements effective process and project management strategies for assigned projects.


• Responsible for preparing and communicating daily, weekly, monthly, quarter and annual reports for ELT, Deans and stakeholders as needed.


• Oversee the Process and Project Management of workflow process for adjunct and student on-boarding and off-boarding and communicate needed PANs and UKG Workflow assignments to HR Business Partners based on respective client groups.


• Reviews and designs offer-letters, contracts and communication templates for adjunct and student lifecycle ensuring feedback and collaboration from all stakeholders.


• Responsible for HR Quality Assurance Approver role for all HR life cycle change for adjuncts and students.


• Research best practices for project management responsibilities and makes recommendations for improvements based on finding and the review of current Process and Project Management projects in their portfolio as well as items within the department upon request.


• Design and lead Training Presentations for assigned projects and for key stakeholders.


• Research and design collateral for areas project management oversight to include, marketing, on-boarding, and training materials.


• Serves as a SME for projects under purview as well as assigned areas in the University proprietary Cloud-Based HR System, UKG Pro, Microsoft Power Automate and Adobe Sign.


• Research and makes recommendations for best practices and process improvements which include innovative automation technology for assigned projects and for the department on request.


• Manages minimum wage changes for non-exempt employees to ensure compliance with all federal and state laws and regulations.


• Monitor the onboarding process for adjunct faculty contracts and student hires to ensure accuracy during the HR Quality Assurance Approver role with the UltiPro system.


• Ensure background check process is completed for adjunct faculty and routes to appropriate HR Business for follow-up when needed.


• Partner with HR Business Partners to ensure accurate adjunct contract information is processed in a timely fashion to meet Payroll Shared Services deadlines.


• Partner with the HR Business Partners and Payroll to ensure all adjuncts complete their timesheets accurately each pay period (budget code, amounts and contract durations of the generated Adjunct contract's information etc.


• In coordination with Payroll, ensure Adjunct faculty data is uploaded with all hiring and onboarding documents so the Payroll Team receives all relevant items with the corresponding PAN.


• Provide assistance to all adjunct employees in navigating the Time Management system in person, on the phone, in email, or on Skype/Zoom or similar video conferencing platforms, within 72 hours, or sooner if required by deadline as needed.


• Research, analyze, and resolve Human Resources discrepancies.


• Ensure internal and external inquiries are appropriately handled and escalates requests for information and assistance to appropriate team member when needed.


• Communicates via email for reminders to hourly Adjuncts about Payroll deadlines.


• Monitors HR trends for frequently asked questions and makes recommendations to HR Business Partners for client specific training.


• Serves as a note-taker during confidential investigations involving employees and/or students and is responsible for accurately and comprehensively documenting all details discussed, including statements, and evidence presented.


• Ensuring that notes are clear, organized, and must handle sensitive information confidentially.


• Ensures timely review and distribution of the investigation notes while ensuring the notes are clear and accurate.


• Responsible for prioritizing and adjusting schedules and targets on the project as needed to meet time sensitive deadlines.


• Responsible for taking the lead on responses for assignment shared mailboxes and is the back-up for shared mailboxes based on assignment.


• Assists with monthly, quarterly and yearly university audit processes as needed.


• Assists the department with high-volume requests as needed.


• Supports training and development activities for the team as needed.


• Represents the department on university-wide committees as needed.


• Represent the university at job fairs and community events as needed.


• Serves as back-up to the People & Culture Coordinator and other team members as needed.


• Review resumes and applications in the University Applicant Tracking System (ATS) to ensure candidates meet the minimum job requirements, such as education, experience, and skills and route to the hiring manager for review and consideration as needed.


• Perform other related tasks, duties and responsibilities as required, assigned or directed.

Contact Responsibility:

Internal: Interacts with supervisor to receive general direction and instructions and/or review of work results. This position will work closely with all constituencies of the University to support both employees and colleagues in achieving success and Department goals.

External: None.

Primary Work Location, Hours & Travel Requirements:

Office Location: Hybrid.

Work Hours: Standard office hours; Occasional evenings or weekends may be required.

Travel: None.

Work environment is in a standard office setting. Frequently exposed to low to moderate noise, various odors, temperature changes, and equipment with moving parts, including but not limited to computers, phones, printers, and other standard office equipment.

Physical Requirements:

Ability to execute those physical activities required to perform the essential functions including, but not limited to, regular sitting and being mobile; continual communicating both in person and on the telephone; regular keyboarding; regular reading of both print and digital material; and all other activities required to perform essential functions.
