Seeking an Executive Assistant/Project Manager with experience providing comprehensive support to Executives in start-up environment. Depending on level of experience, Chief of Staff title may apply. The ideal candidate would take ownership, organize and digitize docouments as well as manage multiple projects simultaneously. This is a contract role with the potential to evolve into a long-term opportunity offering growth within the organization. This will be hybrid, meeting in office or at specified locations a few times a week. Candidates must be local to Boca Raton or surrounding areas.

Key Responsibilities:

  • Calendar management; this will include, but is not limited to, in-person meetings, video-conferences, travel arrangements (private and commercial), visa requirements and other matters
  • Serve as gatekeeper and assist with reviewing and responding to correspondence; escalating accordingly
  • Maintain filing system for easy retrieval of physical or electronic documents
  • Project management
  • Manage expenses and keep detailed logs
  • Serve as liaison with third parties
  • Other administrative tasks/projects/duties as assigned and occasional errands outside the office

Qualifications:

  • Bachelor degree preferred but not a must
  • 4+ years of experience supporting leadership team, ideally in a fast-paced or startup environment
  • Strong ability to take ownership and execute projects
  • Ability to work well both on a team and also as an independent contributor
  • Strong sense of urgency and at ease working in a fast-paced environment
  • Strong problem resolution, negotiation and closing skills
  • High attention to detail
  • Ability to multi-task and prioritize multiple time-sensitive deadlines
  • Strong verbal and written communication skills
  • Strong customer service skills and high level of professionalism and confidentiality
  • Excellent judgement is key as well as ability to respond quickly to situations that require quick turnaround
