ChristianaCare's Medical Group is looking to hire a Full Time Executive Assistant to the Executive Leadership team of the Complex Primary Care Serviceline.

The Executive Assistant is responsible for providing administrative support to member(s) of the executive team in order to maximize their effectiveness and efficiency.  The Executive Assistant will be the primary point of contact for internal and external interactions.   This position requires an independent thinker and leader who has the ability to function effectively in a rapidly growing and changing environment.

Work Schedule

  • Mondays - Fridays: 8:00am - 4:30pm

  • No weekends or holidays

  • Opportunity for a hybrid schedule available.

Key Responsibilities

  • Provides administrative support to the executive leader(s); including attending and taking minutes at meetings, composing agenda, drafts and types correspondence, schedules meetings and meeting rooms, maintains up to date filing systems, screens incoming calls and takes accurate telephone messages, preparing Powerpoint presentations and Excel spreadsheets.

  • Provides a link for smooth communication between the executive's office and internal departments, demonstrating leadership to maintain credibility, trust and support with executive management staff.

  • Schedules and manages executives’ calendar and maintains daily tickler system. Anticipates executive(s) needs and provides assistance to ensure they are prepared for daily activities.

  • Screens correspondence/mail, sorts and prioritizes, bringing items for immediate action to executive leaders attention.

  • Coordinates and schedules meetings and events including notifying attendees, reserving rooms, arranging meals and refreshments, equipment and other support materials.

  • Prepares requisitions and maintains supply inventory and materials, checks receipts for incoming materials, and processes invoices for payment.

  • Prepares all travel reservations and compiles reimbursement documentations, completes corporate credit card reconciliations.

  •  Completes Purchase Orders and invoicing.

Qualifications

  • High School diploma or equivalent required.

  • Completion of a program in secretarial science or related field preferred.

  • Four years administrative experience; preferably supporting an executive leader.
