This multi-skilled Acute Services Administrative Coordinator will directly support our ICU/ Acute team (Practice Leadership, Physican Leadership and APC leadership) including Inpatient Neurology, Neuro Critical Care and partner closely with our Practice Administrators.

The Administrative Coordinator will be responsible for workflow, performance, and the overall operations for Hospitalist and Acute Care Services.   They will also be responsible for providing high level administrative support and championing continuous optimization and performance improvement as it relates to integrated systems such as the electronic medical record (Cerner), internal communication (Vocera), and scheduling (Qgenda). Will work closely with the clinical and operational leadership regarding strategic planning, program development and financial/budget/incentive reporting and monitoring. Payroll and Supervisory experience, preferred.

Key Responsibilities

  • Develops, coordinates and implements operational processes/workflows in collaboration with the Campus Based Medical Directors and operational leadership

  • Responsible for tracking and communicating practice and provider specific productivity measures (e.g., census by campus, rounding census by provider, admissions per shift, backup utilization, coding distribution, moonlighting expense, LOS index, 72 hour revisit rate, 30 day readmission rate, incentive measures, etc.). Partners with clinical leadership to share progress, celebrate success, address concerns, and develop plans for improvement when necessary.

  • Advances workflow process optimization by leading and championing continuous improvement projects to improve provider satisfaction within the practice for all aspects related to practice operations including scheduling, payroll, reimbursement, and administrative support.

  • Assists with the development of annual budget and monthly variance reporting.

  • Supports recruitment, onboarding, retention, and offboarding activities of providers; acts as liaison with physician support services to ensure that all licensing and credentialing tasks are completed in a timely manner.

  • Creates staffing assignments for daily coverage; monitors output to ensure these tasks (e.g., payroll, provider scheduling, CME expense and day tracking, licensure and credentialing, billing queries, delinquent charts, CDI queries, death certs, maintenance of supplies etc.) are being carried out as efficiently as possible and provides real time feedback as needed.

  • Ensures that appropriate hospital and insurance provider credentialing is completed and up to date for clinical caregivers; provides administrative support to all new providers during the credentialing process and acts as the liaison with the Medical Dental Staff Offices.

  • Researches and completes special projects/assignments as required.

  • Partners with the clinical leader and practice administrator to create, maintain, and improve clinical care workflows and provides project management and data analysis support as directed.

  • Captures, analyzes, and organizes data in MS Excel, Word, Access, and PowerPoint and creates customized reports Develops and maintains an open and effective line of communication within department as well as with other departments in the health system.

  • Performs other related duties as required.

Position Qualifications

  • Bachelor’s degree required

  • Two years of acute care practice experience and supervisory experience preferred.
