ROLE TITLE: Archives & Special Collections Librarian

REPORTS TO: Dean of the Library

Summary of Position

Preserves, protects, and promotes Allegheny’s history in alignment with the Libraries’ mission and the College’s strategic plans. Leads, develops, and manages Merrick Archives and Special Collections, all of which include physical and digital materials. Oversees day-to-day research and collection operations. Supports the development of effective records management within College offices.

What you will do in this role:

  1. Coordinates, facilitates, promotes, and delivers archival and special collections materials to students, faculty, staff, alumni and interested users by:
    • Providing dynamic and public facing promotion of the archives with faculty and students
    • Collaborating with faculty to assist students with historical research
    • Coordinating Archives and Special Collections with current and prospective future academic programs
    • Supporting faculty research and educational pedagogies with research assistance
    • Providing library instruction for class sessions and tours
    • Providing access to records and artifacts
    • Answering reference questions
    • Organizing and / or contributing to exhibits, publications and campus events
    • Creating and maintaining Merrick Archives, Special Collections, and College Committee web pages
    • Addressing copyright and ownership queries
Manages daily operations of Merrick Archives and Special Collections by:
    • Supervising Resource Management Specialist and student workers
    • Appraising, collecting, organizing, and preserving artifacts and records
    • Developing and implementing short- and long-term plans
    • Addressing security and building issues, including humidity control
Oversees digitization of archival and special collections artifacts and records
    • Provides expertise creation of metadata and digital content
    • Collaborates with Library staff to develop and maintain digital collections for various platforms, including JSTOR Forum and DSpace.
    • Manages archival and special collections image and student publications collections
Administers the Archive’s record management program
    • Monitors and implements Allegheny College Archival Records Management policy, recommending changes in the policy as needed
    • Oversees loading of records and metadata in institutional repository, including syllabi, committee and meeting minutes, academic bulletins and handbooks, and select accreditation and assessment reports.
    • Works with relevant parties to help develop and implement a campus-wide records management plan.

5. Manages physical collections and provides expertise and support by:

    • Identifying, preserving, and making available (1) materials of enduring value related to the history of the College or (2) rare physical primary sources of importance to the curriculum of the College.
    • Creating finding aids and metadata
    • Maintaining an online archives management system for creating and managing metadata, developing finding tools, and making these tools available to the community.

YOUR EXPERIENCE

  • Minimum of 4 years required of relevant professional experience.
  • Master’s Degree required
  • Track record of achieving exceptional results.

YOUR FUTURE TEAM

The Lawrence Lee Pelletier Library is home to the library collections and the Maytum Center for Student Success. It provides a hub for student success, research, and learning outside the classroom. The Library Services desk on the main floor of the Pelletier serves as the friendly face of the library.

Library Services educates and guides members of the Allegheny community on successfully locating and using resources available through the Library, including library circulation, interlibrary loan, media equipment, research support and instruction, LMS administration, and related services.

YOUR COMPENSATION

New hires are typically brought into the organization at a salary between the range minimum and the salary range midpoint depending on qualifications, internal equity, and the budgeted amount for the role. Salary dependent upon qualifications and experience. The expected minimum salary range point for this position is $58,000 annually.

On April 20,2024 the US Department of Labor announced a final rule, which will take effect on July 1, 2024. The rule updates and revises the regulations issued under section 13(a)(1) for the Fair Labor Standards Act. Revisions include increases to the standard salary level threshold for exempt positions. Where positions currently are considered exempt from overtime, with the upcoming July 1 revisions, some positions may convert to non-exempt, based on the threshold amounts which are regulated by the Federal Government.
