** Cover letter required for all positions and optional for facilities, campus services, and hospitality positions unless otherwise specified.Job Description SummaryThe Financial Aid Systems Manager, working under the general supervision of the Assistant Director, will provide technical support for the timely awarding, auditing, and reconciling of financial aid awards through multiple software applications. The position will also support financial aid staff in the review and analysis of financial aid data reports.Job Description

Essential Functions:

  • Monitors daily technical processes related to Financial Aid software (i.e. importing and exporting of files with the U.S. Department of Education, other regulatory agencies, and the CollegeBoard).
  • Perform or automate routine batch processes that import applicant/student data into our system of record; manually enter information when electronic data transfer is not an option.
  • Perform routine PowerFAIDS database maintenance.
  • Perform or automate routine data exports out of our system of record to other required systems, including federal systems, in required formats.
  • Monitor and troubleshoot sending and receiving federally required files via TDClient. Work with IS on required TDClient upgrades to maintain system compliance.
  • Participate in PowerFAIDS implementation as a primary team member.
  • Serve on the Workday Financial Aid implementation team.
  • Serve on PowerFAIDS Cloud Financial Aid implementation team.
  • Provide support for PowerFAIDS and Banner processing and Workday Student processing and set-up issues.
  • Serve as liaison between Financial Aid office and other functional offices as well as IS in implementing PowerFAIDS integrations with existing systems.
  • Identifies and resolves system-related problems through review and analysis of process output.
  • Responds quickly and efficiently to system problems and data anomalies encountered by financial aid staff in their daily operations, using an established ticketing system.
  • Reviews financial aid data for conflicting information and updates to student records.
  • Resolves duplicate student records in software systems.
  • Maintains and organizes electronic filing systems.
  • Manages annual updates to the student self-service environment of the financial aid software system.
  • Responsible for configuration of Financial Aid areas of Wake Information Network, including testing changes in coordination with IS.
  • Manage student facing Financial Aid Portal, NetPartner, including all configuration.
  • Develops enhancements to the student self-service environment.
  • Collaborate with system personnel in other offices such as IS, Registrar's Office, Finance and Admissions, to assist in troubleshooting all system-related processing.
  • Anticipate, evaluate, and troubleshoot errors and problems related to PowerFAIDS and Workday integration, and liaise with IS as needed to resolve system and data transfer/update issues, Notify staff in a timely manner of any issues and scheduled maintenance/downtime.
  • Develops automated process improvements for efficiency through UC4 or PowerFAIDS job scheduling software.
  • Updates Net Price Calculator annually to reflect new aid year information and compliance requirements.
  • Responsible for testing Financial Aid Banner Systems, Workday Student, and PowerFAIDS patches, and system updates in coordination with IS.
  • Responsible for testing PowerFAIDS, WebClient, and NetPartner patches, and system updates in coordination with IS.
  • Assists with annual systems set up and enhancements for new aid-year.
  • Conduct PowerFAIDS configuration, maintenance, parameter roll forward, and testing of new releases.
  • Maintains a working knowledge of current issues and trends occurring in online user communities and utilizes those resources to research, identify, and propose process improvements.
  • Maintains and updates financial aid operational/system calendar.
  • Assists with workflow development to enhance interdepartmental and intradepartmental communications and data standardization.
  • Represent Student Financial Aid on the Student Services and Engagement committee and Duplicate PIDM committee.
  • Represent Student Financial Aid at systems conferences.
  • Documents processes for the university computer system as they relate to financial aid processing.
  • Provide daily ad-hoc assistance to Financial Aid staff on support and troubleshooting for PowerFAIDS, Banner, Workday Student and general software and hardware issues.

Required Education, Knowledge, Skills, Abilities:

  • Bachelor's degree from an accredited institution, with at least three years of related experience or an equivalent combination of education and experience.
  • Ability to communicate complex and specialized technical information in understandable terms to management and staff.
  • Proficiency in Microsoft Office and Google applications.
  • Ability to analyze data.
  • Interest and willingness to engage with online user communities.
  • Demonstrated ability and willingness to take initiative.
  • Demonstrated problem solving skills.

Preferred Education, Knowledge, Skills, Abilities:

  • Experience in higher education technology/student information systems.
  • Experience working in a Student Financial Aid office.
  • Experience writing system and process documentation.
