GENERAL POSITION SUMMARY:
The Development Data Specialist works with the Fundraising, Grants, Contracts, Fiscal and other IRCO staff and teams to achieve goals that increase Unrestricted and Restricted funding. This position plays a lead role in developing, implementing, monitoring, reporting, and adjusting key data systems and a wide range of operational processes for IRCO’s Development Department under the direction of both its Grants and Community Giving Managers and a support role in many other tasks. Duties include:

ESSENTIAL FUNCTIONS:
Implement and oversee cross-sector CRM (currently Donor Perfect) and other development data systems, build operational processes in collaboration with other agency administrative units to improve communications. Maintain an understanding of any contracts and costs for these systems.
Serve as the primary manager of the Donor Perfect database within the Development department. Proactively provide data for fundraising plans and all corresponding events and activities and support the development and execution of these plans as assigned.
Oversees the health and functionality of the Donor Perfect development database, including maintenance of data entry protocols and mailing lists, ensuring data accuracy, and importing data from events, returned mail, donor research and other communication.
Records and processes all incoming donations and related materials daily. Maintain an understanding of and ensure systems are aligned with agency fiscal policies, processes, and reporting.
Works with Community Giving Manager to facilitate all donation appeals and donor communication, both in print and electronically.
Support new donor research and communications as assigned to enhance donor relations and stewardship (and play a lead role in proactively monitoring and updating contacts.
Produces and mails appropriate donor acknowledgment letters to donors.
Develop and implement a development data maintenance and quality control plan and play a lead role in monitoring and proactively adjusting as needed.
Provide customer service and troubleshooting for donation questions.
Play a lead role in proactively planning, managing, and disseminating reporting, lists, and ad hoc queries including performing quality control for all requested/needed reporting for the fundraising and grant writing teams as well as for other development activities.
Work with Communications, Volunteer, New Beginnings Market, and other teams on data strategies and develop and provide reporting and information that improves efficiency and effectiveness.
Provide data/information for and monitor reporting to make needed adjustment in key development data and agency filing systems. This includes running, reviewing, and utilizing regular internal reporting on Development activities (i.e., new grants and contracts or fundraising).
Play a lead role in tracking, organizing, and troubleshooting for tasks related to accessing and updating funder portals (e.g. for workplace giving and websites through which grants/proposals/bids are submitted).
Support budget planning and oversight with Development team.
Identify and implement data-driven best practices that streamline systems, maximize efficiency, and increase resource development opportunities.
Monitor financial and administrative best practices for non-profits and work with Fiscal and other agency leadership to clarify Development roles and responsibilities to ensure compliance as a 501(c)(3).
Work with the Development, Fiscal and Contracts units to create best-practice systems to support program work, and the annual audit. This may include developing and managing workplans and workgroups that involve multiple teams at IRCO.
Build effective relationships across internal teams, serve as lead liaison with data systems contacts and similar vendors/organizations.
Create, document, and write technical documents and oversee compliance of team procedures and “handbook.” Coordinate and provide regular training, technical assistance, and correctional steps/fixes to procedures as needed.
Work cross sector to facilitate/carry out development data “pulls” / information gathering (i.e., for grants, communications and donor messaging, etc.).
Support the agency-wide gala, other fundraising events, and the events Coordinator, including assisting with planning, logistics, and coordination as assigned. Play a lead role in proactively planning and managing all events data which includes ticketing, on-site registration, reporting, and various other tasks.
SECONDARY FUNCTIONS:
Promote a culture of philanthropy, equity, and cooperation throughout the organization.
Participate in staff meetings, trainings, and committees to support IRCO’s goals and objectives.
Take and disseminate notes, document and follow up on action items for all assigned meetings—playing a lead role in planning for, scheduling, and note-taking in meetings related to Development data and data systems.
Carry out all internal procedures, duties, and task assignments and provide additional administrative and project support for Development and other teams as assigned.
Represent the organization and Development Team in public forums, external meetings, and events when assigned.

QUALIFICATIONS:
Minimum 3-4 years of experience in a nonprofit environment (e.g. donor database management, fundraising, event planning, volunteer management, and/or related field)
Strong experience managing database information and providing analytical data reporting.
REQUIREMENTS:
This position is hybrid (remote and in-person); many tasks can be carried out remotely and there are on-site activities and in-person meetings. Any remote work will be conducted using a computer from your own-remote site, so must have the ability to sit and carry out complex tasks in this environment. Optionally a desk can or may be arranged at an IRCO site in the Portland Metropolitan area. Requires a consistent schedule during standard office hours Mon – Fri, 8:30am– 5:00pm PST, with flexibility as needed to accommodate occasional after-hours team projects and meetings.
Must also have:
When working remotely, must have consistent access to high-speed internet to accommodate working online for long periods of time – in virtual (video and audio) meetings and using software/online collaboration tools. Must have the ability to be reached by phone and by email/chat during standard office hours (and occasionally after hours). On-site activities/meetings will occasionally be required.
Ability to regularly access IRCO sites in the Portland, Oregon metropolitan area including IRCO Main office site where the administrative offices are located.
Ability to maintain confidentiality.
Ability to communicate about and solve problems with transparency, positivity, and initiative.
Must complete many short- and long-term tasks and projects on different timelines simultaneously and with quickly shifting priorities.

organization, which includes staff and leadership working in many different roles and levels of the organization.

Computers: All positions at IRCO require use of a computer and experience working with Microsoft Products including but not limited to Microsoft 365, Excel, Word, Outlook and PowerPoint. In addition, this position specifically requires:
Ability to talk on the phone and/or use computer for long periods.
Able to use basic office equipment including computer, telephone, copy machine, fax machine, and office supplies.
Must have strong computer skills and proficiency in many Microsoft Office programs, graphics, and related software.
Must perform basic math (add, subtract, multiply and divide), perform basic programming (database setup, setting system defaults, some software modification) with ability to use independent judgment.
Must have extensive knowledge/experience in fundraising software/CRM (e.g. Greater Giving, Network for Good, Donor Perfect, or others) and other data systems.
SKILLS:
