Provides direct assistance to the County Manager’s Office and performs a variety of administrative assignments. Coordinates, monitors, and participates in the clerical operations of a departmental office and will serve as the primary administrator to the Policy Review Committee and back-up for the Commission meeting agenda process. Receives citizens’ inquiries and provides information and direction regarding County services.
Serves as the primary administrator for the Policy Review Committee (PRC).
• Assists departments with organization policy item review, creation, and process.
• Meets with the Deputy County Manager to discuss prospective policy items.
• Manages meeting schedule and meetings. Prepares and distributes printed copies of the agenda.
• Processes and reviews policies for submission to BoCC agenda.
• Archival and records management of all policies.
• Research policy and organizational trends.
• Manages and supports PRC Subcommittees and assigns polices for review and revision.
Performs various purchasing functions for the Department
• Orders supplies and equipment through appropriate County vendors
• Prepares and processes purchase orders
• Verifies receipt of orders
• Pays for orders through appropriate means in accordance with Purchasing guide lines
• Maintains purchase contracts
• Initiates service calls for repairs and maintenance of office machines
Office assistance for the County Manager’s Office
• Provide administrative support to the County Manager and others are requested
• Responsible for staff work including varied assignments including but not limited to:
• Manager Staff Meeting Agenda and Details/Print Manager Notes
• Phone support for Manager’s Office and Counselor’s Office
• Courteous, prompt, and professional responses and interactions with citizens, all staff, and co-workers both on the phone and in person.
• Compose correspondence, makes arrangements for conferences, scheduling meetings for department staff and coordinates meeting room reservations
• Other duties as assigned.
Minimum Qualifications: High school diploma, GED, or equivalent; or, two years of responsible secretarial experience or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
