Job Summary

This position provides high-level administrative support to a large department with a multimillion-dollar budget. Incumbent will provide administrative support to the department leadership team, support the financial services, budget reconciliation functions, and facilitate HR related activities. This position will support the Director and department operations, compliance, and internal controls. This position will serve as primary back-up for divisional administrative support officer.

 

Major Responsibilities/Duties/Critical Tasks

Provide clerical and administrative support to the Housing Leadership Team including a Director, two Assistant Directors, a Coordinator, and Maintenance Supervisor (and their reports) located in multiple physical buildings across the university.
Provide quality customer services, ensure housing office operations and coverage, address correspondence, return voicemails, elevate concerns or crisis to appropriate staff member, and respond to general student housing questions.
Provide calendar and meeting scheduling functions for Housing Leadership Team members, attend leadership team meetings, and take/distribute meeting minutes.
Assist with the housing/maintenance inventory control process and program.
Utilizes various modules within the Housing Management software solution to assist internal department staff or external guests or students with housing & residence life needs: occupancy, work order management, inventory control, staff recruitment selection, roommate mediation/agreements, or budget fiscal controls.
Facilitate proper use, documentation, and reconciliation for a substantial number of departmental procurement cards.
Provide overall budget and expense reconciliation for area budget(s).
Deliver regular budget updates to Budget Authority.
Assist with all aspects of departmental purchasing and financial services, including processing of contracts, service agreements, and other documents needed for purchase or department service needs
Maintain complex and accurate accounting ledgers.
Effectively utilizes university software solution, Peoplesoft, StarRez, and other technology to accomplish tasks.
Ensure employee files and appointments are up-to-date and in compliance with university policies and guidelines.
Assist with the recruitment, selection, and hiring of student and professional staff members within the department.
Provide administrative support to hiring authorities on recruitment activities.
Ensure employee files and appointments are up-to-date and in compliance with university policies and guidelines.
Process, monitor, and track student compensation and hiring documentation for all student employees.

Maintain office computers, electronics, software, copier/printers, and university inventory control (non-auxiliary service equipment).
Assist the Director in maintaining appropriate records and controls for university, local, state, and federal compliance rules and regulations.
Maintain appropriate records for special certifications, trainings, or licenses for Director or staff reporting to the Director (Clery, food handlers, driving certifications, etc.)
Assist with student move in and other university events, as requested by supervisor.
Serve as a back-up to divisional Administrative Services Officer
Participate in regular training and stay abreast of administrative functions for the next level support person.
Support administrative functions and training within the division.
Serve on University or divisional committees.
Performs other duties as assigned.

Required Education/Experience

High school diploma or equivalent.
Five (5) years of related experience.

Preferred Education/Experience

Bachelor’s degree in business administration or a field closely related to the specific endeavor of the department.
Three (3) years’ experience at the Administrative Assistant Ill role.
Previous experience with Housing & Residence Life or student affairs/engagement units or departments. Experience with UT Tyler systems (PeopleSoft) and software.
Previous experience with housing management platforms (StarRez, etc.).
Finance experience is preferred.

Other Information

This position may be required to work in a multitude of university buildings to complete work assignments. May work around all weather conditions.

On occasion, this position may be required to work on a weekend or evening.
