Admin Assistant/Dispatch

Responsibilities:
Answering phones, greeting visitors, and handling correspondence.
Maintain organized filing systems for both physical and electronic documents.
Assist with inventory management by tracking office and warehouse supplies and placing orders as needed.
Schedule and coordinate meetings, appointments, and company events.
Assist in preparing reports, presentations, and other documentation for management.
Handle customer inquiries and provide information regarding services and products.
Scheduling and Coordination:
Schedule and dispatch glass installation and repair technicians to various job sites based on customer requests and project requirements.
Coordinate delivery and pickup schedules for materials and finished products.
Monitor and adjust schedules in real-time to accommodate emergencies, delays, or changes in customer needs.
Communicate effectively with technicians, drivers, and customers to ensure timely and efficient service delivery.
Utilize dispatching software and tools to track job progress, technician locations, and resource allocation.
Maintain accurate records of service calls, work orders, and customer interactions.
Collaborate with the warehouse and production teams to ensure availability and readiness of materials for scheduled jobs.
Address and resolve any service-related issues or complaints promptly and professionally.
Working hours: 8:00 AM - 5:00 PM
Skills:
Associate degree in Business Administration, Logistics, or a related field is preferred.
Education:
High School
Experience:
1-4 years
Qualifications:
High school diploma or equivalent required.
Minimum of 2 years of experience in administrative support roles.
Prior experience in dispatching or logistics coordination, preferably within the construction or manufacturing industry.
Experience working in a glass company or similar trade is a plus.
Excellent organizational and multitasking skills with a strong attention to detail.
Strong verbal and written communication skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Familiarity with dispatching software and CRM systems.
Ability to work effectively in a fast-paced environment and handle stressful situations calmly.
Strong customer service orientation with the ability to build and maintain positive relationships.
Problem-solving skills with the ability to make quick and effective decisions.
Ability to work independently as well as part of a team.
Basic understanding of logistics and scheduling principles.
Ability to sit for extended periods while performing office and dispatching duties.
