Responsibilities:
The Community Program Specialist plays a crucial role within the Energy Rebate Impact team, providing administrative and project support to Program Managers and the Executive Director.
This role is essential in ensuring smooth coordination with other state and federal programs while supporting the Community Impact activities.
Responsibilities include managing data, preparing and organizing reports and documents, scheduling meetings, and responding to inquiries.
The specialist will also act as a liaison between various teams, ensuring seamless communication and collaboration across departments.
Essential Duties:
Administrative Support:
Provide comprehensive administrative support to Program Specialist and Program Managers overseeing assistance and community energy programs, with state and federal program requirements.
Community and Agency Assistance:
Respond to requests for assistance from community members and agency contacts in English and other languages, with a focus on referrals to appropriate state and federal resources.
Report Compilation:
Assist the Programs Team in compiling and submitting regular reports to stakeholders, government officials, ensuring accuracy and alignment with state and federal program guidelines.
Meeting Coordination:
Create agendas, meeting invitations, and document meeting minutes, particularly for discussions involving state and federal program coordination.
Application Processing:
Process incoming applications and requests for assistance from individuals, community members, and corporate partners, ensuring data accuracy and compliance with state and federal program standards.
Referrals to Service Providers:
Make referrals to community-based service providers for food, housing, shelter, and other basic needs assistance, ensuring integration with state and federal programs.
Data Management:
Conduct data entry, data cleaning, and develop spreadsheets specific to project needs, particularly those involving state and federal programs.
Report Development:
Assist in the development and dissemination of reports and related documents that promote the energy rebate program and highlight coordination with state and federal initiatives.
File Maintenance:
Maintain organized and updated files, documents, and reports for multiple projects, ensuring easy access for collaboration with multiple team members and alignment with state and federal program requirements.
Liaison Role:
Act as a liaison between the Programs team and the partnering agencies, ensuring accurate communication regarding initiatives involving state and federal programs.
Organizational Skills:
Demonstrate strong organizational skills in managing multiple tasks and ensuring compliance with state and federal program guidelines.
Empathy and Understanding:
Demonstrate empathy and understanding in connecting community members in need with available resources, with a strong preference for bilingual skills.
Other Duties:
Perform other duties as assigned, with an emphasis on tasks that support the coordination and integration of state and federal program initiatives.
Position Requirements:
An Associate's or Bachelor's Degree or equivalent experience in Social Work, Urban Studies, Emergency Management, or a related field.
Preferred two years of experience in administrative support or social services, with experience in state and federal program coordination.
Ability to prioritize workload and meet project deadlines while ensuring alignment with state and federal programs.
Strong time management skills.
Proficiency in data extraction and accurate information posting, with attention to detail in compliance with state and federal program standards.
Basic math skills, including the ability to understand common formulas and equations.
Excellent oral and written communication skills.
Ability to provide customer service and guidance to a diverse range of individuals, including those from various cultural backgrounds.
Bilingual abilities (English and Spanish, Chinese, or Tagalog) are strongly preferred.
Reliable transportation, with the ability to travel as needed for state and federal program meetings.
Experience with human services, basic needs assistance, housing programs, and/or volunteerism is a plus.
Experience working in deadline-driven environments, with a focus on state and federal program coordination.
Environment:
The position is based in a clean, comfortable office setting, with occasional travel to client sites and meetings related to state and federal programs.
Physical Activity:
Regular standing, sitting, speaking, and listening.
Ability to lift/move up to 10 pounds regularly and occasionally up to 30 pounds.

Equipment and Software Operation:
Familiarity with computers, printers, copy machines, and audiovisual equipment.
Proficiency in Microsoft Office and web browsers (Internet Explorer/Google Chrome).
