Job Summary
The Housing Assignments and Outreach Coordinator is responsible for the maintains software (StarRez) to coordinate assignments, communicate with students and other special on campus resident populations, and maintain accurate assignments records. Additionally, the Coordinator assists in developing communication materials, collaborates with campus partners, and represents Housing and the Division of Student Affairs. The coordinator is expected to provide exceptional service to students, parents, and the university community.

Responsibilities
Occupancy Management
Establishes and follow best practices for occupancy management for a 1,248 bed residential campus and assists in the development and maintenance of StarRez to effectively carry out all assignments functions and system uses
Coordinates the application timeline and maintains assignment-based calendar outlining future assignment events and communications to ensure timely and effective
communication with residents
Assess, manage, and troubleshoot any discrepancies or inaccuracies in housing assignments, taking proactive measures to resolve issues and ensure accuracy
Responsible for room damage billing and appeals process in coordination with the office of the Bursar
Plan, and coordinate opening and closing processes for all residence halls each semester
Maintains student access rights in conjunction with assignments-related information
Manage phone and email correspondence with students, parents, and other offices regarding questions related to room assignments, ensuring timely and consistent correspondence
Reconcile and submit reports regarding assignments, occupancy, and the housing and occupancy management database.

Customer Service
Effectively communicate to student and guest inquiries on housing and assignment policies and procedures
Maintains the general campus operating hours of 8AM-6PM Monday through Thursday and 8AM-12PM on Friday with some Functions as a resource on student, parent, and other institutional issues, including responding to escalated customer service problems
Effectively trains and supervises 1-2 student assistants

Communications
Maintains content, accuracy and design of the Housing website and publications regarding assignments and the assignment process, including brochures, reports, forms, and other educational materials.
Assist in developing communication templates, including contract confirmations, room selection processes, assignment notifications, and deadline reminder calls and emails.
Establish and maintain relationships with the following areas related to housing assignments and timelines: Residence Life, Athletics, Disability Services, Care and Support, Financial Aid, Auxiliary Services, Bursar, Facilities, and Institutional Research.

Student Affairs Duties
Represents the division as needed, providing stellar service and support to Clayton State University students.
Participates in campus events and committees to enhance student experience
Required Qualifications
Bachelor's Degree required.
Minimum of (2) years of housing assignment experience. Experience with StarRez or similar housing information management tool is required of all applicants.
Organizational ability, particularly in complex detail.
Strong administrative and communication skills
Knowledge, Skills, & Abilities
Demonstrated knowledge of Housing & Residence Life operations with demonstration of strong administrative skills, supervisory skills, software technology knowledge, and ability to successfully coordinate projects/tasks. Must have exceptional customer service skills, both verbal and written; must be able to defuse stressful situations without causing undue harm to the University or student.
