POSITION OVERVIEW

The position of Assistant Director of Alumni Engagement is integral to the success of The Westminster Schools’ advancement program. This leader is responsible for developing and executing programming designed to engage, inform, and inspire Westminster alumni and constituents. Under the guidance of the Director of Alumni and Parent Engagement, the Assistant Director will envision, implement, and manage innovative and relevant strategies to advance the School’s regional alumni and special interest communities, and overall mission. The Assistant Director will also effectively support all alumni programming activities and communications to ensure a differentiating and valuable experience for all alumni.

The Assistant Director must possess both superior interpersonal and communications skills to facilitate meaningful relationships that strengthen alumni connection to the School. This individual must also have the ability to work effectively with diverse audiences. The Assistant Director will partner and work collaboratively with the Director, fellow Engagement Team members, Advancement Staff, other members of the on-campus community, and alumni volunteers. The Assistant Director will serve as a key partner of the Director in moving ahead the team’s strategic priorities and also step in as the primary leader of the Alumni and Parent Engagement Team in the absence of the Director.

Position Status:  Salaried, exempt, full-time, regular, 12-month

Hours of Work:  Monday through Friday; core hours are 8:00 a.m. to 4:30 p.m. Occasional evening and weekend work may be required as job duties demand. Eligible for Remote Work Arrangement.

 

ESSENTIAL RESPONSIBILITIES

Proactively develops and enhances relationships with alumni to further their connection to and support of Westminster as well as facilitate the connection among alumni themselves. Assists with recruiting, training, inspiring, and directing the Black Alumni Council (BAC). Implement engagement strategy for Black alumni in collaboration with the BAC and the Director, and serve as the primary lead on all associated programming and events. Recruits, leads, trains, and supports volunteers of regional alumni chapters in major city markets while also identifying potential in emerging markets. Provides guidance and direct assistance to chapter councils in the creation and execution of relevant and engaging programming to cultivate vibrant alumni communities nationally and beyond.  Partners with the Director to develop and implement policies and practices to guide the development of current and future affinity and special interest community support.  Manages, trains, and directs special interest groups to effectively engage members of the community and develop, in concert with alumni volunteers and aligned with the strategic goals of the Alumni Governing Board, relevant programs, and activities specific to these special interest groups. Creates and regularly updates chapter, special interest group volunteer training resources such as, but not limited to, handbooks, one-pagers, and webpage content.  Assists in curating and creating relevant content to share stories of alumni impact, highlight events, and keep alumni informed about key strategic initiatives of both the Alumni Association and the School, in partnership with Communications and the Alumni Engagement Team. Partners with the Director and other appropriate departments to develop and implement metrics to evaluate and measure the success of alumni engagement efforts with a particular focus in the areas of, regional alumni chapters and special interest communities. Works in effective collaboration and partnership with fellow members of the Engagement team and Office for Institutional Advancement to move identified priorities forward on behalf of the School’s alumni and strategic goals. Responsible for budgeting and the fiscal management of respective programs, initiatives, and events. Travels for off-campus events and meetings as needed. Other duties as assigned. 

 

REQUIREMENTS AND QUALIFICATIONS

Minimum of five years experience or combination of education and work experience in a related field. Experience recruiting, training, inspiring, and managing volunteers.  Demonstrated leadership and organizational skills; event coordination is a plus. High level of emotional intelligence, excellent listening skills, and the ability to navigate the complexities and ambiguities of leading and inspiring others in a complex, deeply invested community. Excellent communication and interpersonal skills both oral and written; ability to work and communicate effectively with diverse constituents in a dynamic organizational environment. Well-developed strategic, critical, and problem-solving skills. Strong attention to detail and able to function independently with minimal oversight. Excellent project management skills and ability to take lead on multi-functional projects. Highly proactive with a "get things done" approach. Strong computer skills, including high competency in Microsoft Office and Google suite software, databases (preferably Raiser’s Edge), email marketing programs, and proficiency with project management software (preferably ASANA). Motivated to meet deadlines in a time-sensitive and fluid environment while paying attention to detail and accuracy. Demonstrated ability to work collaboratively as a member of a team. Enthusiastic, poised, confident, organized, and insatiably curious. Growth mindset with active engagement in individual and departmental professional development and best practices.

 

PHYSICAL DEMANDS AND WORK ENVIRONMENT

While performing the duties of this position, the employee is required to sit; stand; walk; use hands to finger, handle, and feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch and crawl; talk and hear; engage in moderately strenuous physical activity both indoors and out; and smell. The employee may occasionally lift or move up to 20 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

While performing the duties of this position, the employee is occasionally exposed to outside weather conditions and may frequently walk on slippery or uneven surfaces.


TRAVEL

Occasional out-of-area and overnight travel is expected.
