Overview

The Education Program Specialist - Yr. 3 under the leadership of the Clerkship Curriculum Manager, reviews, develops, implements, and administers all clinical clerkship activities for the third year of the MD Program. Provides analysis and program oversight to ensure timely project completion and compliance with educational requirements.

Minimum Requirements:

  • Bachelor's degree in Education, Health or other related fields expected. 
  • (3) three years of equivalent experience in academic medicine preferred.

Essential Functions:

  • Oversees the planning, implementation, coordination, and evaluation of all clinical clerkship activities for the third year of the MD Program.  Assumes responsibility for ensuring the successful and timely completion of the tasks within the third-year curriculum. 
  • Serves as the Year 3 Immersion clerkship program liaison and representative. Works directly and collaboratively with clinical clerkship coordinators within each department.
  • Manages all required clinical clerkship dashboard correspondence, including scheduling meetings and analyzing outcomes.
  • Assists with implementing operational policies and procedures related to the MD program's functioning.
  • Manages third-year course/clerkship initiatives in collaboration with the Associate & Assistant Deans, Course/Clerkship Directors. In addition, the role supports courses including but not limited to the following courses/exams: Transition to Patient Care (T2PC), Transition to Residency (TTR), Clinical Performance Examinations (CPXs) and Objective Structured Clinical Examinations (OSCEs) and Longitudinal Elements, Assessments, and Preparation (LEAP) week(s).
  • Oversees the management of Canvas sites for all third-year clerkships. In addition, the role may assist with fourth-year course/clerkship Canvas sites, as needed. Also works within additional educational technology/evaluation/compliance programs to support Year 3 clerkship needs. 
  • Coordinates directly with affiliated hospitals and clinics within surrounding areas to help secure rotations, spaces, and clerkship activity support. 
  • Serves as proctor for examinations throughout all UME years, specifically for third year NBME subject examinations (National Board of Medical Examiners Shelf exam).
  • In collaboration with the Associate/Assistant Dean(s) and the Clerkship Curriculum Manager and Director(s) of Curricular Affairs, contributes to the development of budget requests. Also, required to work within an established budget and organizational fiscal compliance.
  • Reviews third-year curricular components on an ongoing basis (Quality Assurance) to ensure comparability is met regarding clerkship syllabi, goals, objectives, instruction, orientations and faculty and student evaluations for all third-year clerkships. In collaboration with the Clerkship Curriculum Manager and Associate/Assistant Deans, make recommendations for changes or improvements based on outcome data.
  • Manages tracking and approval of third year absence requests within absence management system.
  • Monitors and manages room scheduling systems specific to areas supported. Responsible for coordination with student groups and UME curriculum to ensure minimal scheduling conflicts and address scheduling needs.
  • Arranges, implements, and facilitates team meetings to achieve results. Attends meetings with appropriate Staff and Faculty as necessary to provide and gather information. Promotes a cooperative work environment by utilizing communication skills, interpersonal relationships, and team building.
  • Attends and contributes to the discussion as a non-voting member of the Year 3 Immersion applicable curriculum committees. 
  • Advise on operations of implementing curricular elements, including design, delivery, and assessment.
  • Ensures compliance with institutional regulations and guidelines.
  • Other duties as assigned.
