Position Summary
The Admissions Counselor role is an entry-level position in the Office of Undergraduate Admissions. As a front-facing role, this position has direct interaction with prospective students and families, and works with the Visit Experience team on many of the daily operations of the Sumers Welcome Center including planning and implementing daily visits and assisting with special events. This role also supports projects for the recruitment and selection of prospective students. Serving in this role requires great communication, presentation, and customer service skills. Minimal travel may be required.
Job Description
Primary Duties & Responsibilities

Conducts information sessions for prospective students and families. This includes learning, comprehending, and retaining extensive knowledge about the WashU student experience and admissions policies, and being able to present content in an engaging and informative way. Information Sessions are typically conducted with a student co-presenter. Occasionally, Admissions Counselors will be asked to help produce and/or update content for the information session.
Coordinates and staffs the visit experience. Creates personalized itineraries for visiting prospective students including scheduling appointments with campus partners. Staffs the lobby, conducting the greeting and welcome experience for all who enter Sumers Welcome Center. Conduct interviews and family meetings with prospective students. Be available for “pop-in” and Q&A in the Welcome Center lobby. Supports visit experience by managing day-to-day tasks of student staff serving in the Sumers Welcome Center. Student staff may serve in roles that include greeters; shadowing experience hosts; and logistical support including creation of daily lanyards and/or visit packets. Ensures the Welcome Center is adequately stocked with materials to support the experience.
Supports Undergraduate Admissions initiatives through coordination of special projects including:
Special Group Visit Coordination. Group visitors include high school groups and Community Based Organizations serving access and special populations. The Admissions Counselor serves as the point of contact to schedule group visits including coordinating and developing content for information sessions, campus tours, and other on-campus activities geared toward the specific interests and needs of the special group. This requires managing a large volume of information and detail; during peak season, many events will be happening simultaneously.
Supports the logistics of overnight hosting by gathering guest information, documents, etc. Admissions counselors may assist in communication to overnight guests, creating lists or schedules for overnight hosting, and gathering materials.
Supports the logistics of Bear Lunch Bunch by coordinating spaces and students with the Visit Experience team.
Supports the logistics of the Bear Chat program by coordinating Bear Chat schedules, inputing information into prospective student accounts, managing the virtual chat room, giving Bear Chats when necessary, and more.
Supports the Concierge function in the welcome center by staying informed about events and programs across campus. Admissions Counselors should make a great effort to know about WashU’s campus.
Supports the recruitment and selection efforts of Undergraduate Admissions. Attend local recruitment events, such as high school visits and college fairs. Occasional travel to a national recruitment event may be required. This role will also require some application review and evaluations; and data-entry and consolidation into Slate, CRM.
Staff all on-campus special events. Admissions Counselors assist the Visit Experience Team in planning for and staffing special events on campus (large and small).
Performs other duties as assigned.
Working Conditions

The position will be located in an open office environment. As conditions merit, this position may be required to work remotely.
Attendance at on-campus events.
Events may occur during normal business hours, or in evenings and weekends. Overtime is required.
Must assist with logistical tasks, including transporting materials to events.
Work outside normal business hours is necessary throughout the year.
Ability to lift/move items up to 20 lbs. Ability to stand or sit for long periods of time.
Ability to staff welcome kiosks for long periods of time, proactively approaching visitors and serving them immediately upon arrival. Much of the time is spent standing.
Position requires heavy use of computer, including CRM technology in office and at home.
Preferred Qualifications

Bachelor's degree.
Familiarity and/or experience with specialized computer programs, such as CRM technology.
Basic understanding of the function of the Undergraduate Admissions office.
Expertise with Microsoft Office, social media platforms, and other technology platforms.
Excellent customer service and communication skills.
Strong attention to detail.
Able to balance many tasks at one time.
Team player and work with a positive attitude and is willing to work in a fast-paced, dynamic, changing environment.
Attendance at on-campus events. Events may occur during normal business hours, or in evenings and weekends, possible overtime may be required.
Occasional travel to off-campus events. Less than 5% of time.
Superior writing, presentation, organizational, and interpersonal skills.
Familiarity with Excel, MS Word, PowerPoint strongly.
Flexibility and the ability to work in a team environment.
Ability to effectively prioritize multiple projects in a high-paced environment.

Ability to communicate effectively with internal and external constituents including students, faculty, administrators, parents, alumni, vendors, and others.

Understanding of the importance of data capturing and record keeping to contribute to the overall success of Undergraduate Admissions.
Required Qualifications
High school diploma or equivalent high school certification and four (4) years related experience or a Bachelor’s degree.

$19.29 - $29.91 / Hourly
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
