Position Summary

The Staff Accountant is an integral part of the Finance team with a focus on payroll, general ledger reconciliations and grant accounting. This role is responsible for the timely and accurate processing and recording of the bi-weekly payroll for 275 + employees. This role has a strong understanding of general ledger accounting as it relates to payroll, associated reconciliations, taxes and benefits, along with accounting for revenues and receivables for grants.

RESPONSIBILITIES

  • Responsible for timely and accurate processing of bi-weekly payroll and related deductions.
  • Responsible for maintaining the data housed in the Payroll and Time Management modules of the payroll software (earnings, deductions, sick & vacation accruals, labor allocations, workers compensation rates, etc.).
  • Responsible for reconciling and approving benefit invoices for payment.
  • Responsible for recording payroll and payroll accruals in accounting software.
  • Responsible for monthly reconciliation of payroll general ledger accounts to payroll reports.
  • Responsible for responding to employment/loan forgiveness verification requests for active and terminated employees.
  • Responsible for maintaining and reporting on allocations in payroll for grants and other funding sources.
  • Responsible for communicating with staff on areas regarding their benefit deductions and any other payroll inquiries.
  • Responsible for personnel grant reporting including journal entries to correct salary allocations and related benefits.
  • Responsible for maintaining strict confidentiality.

ACCOUNTABILITIES

  • Timely and accurate processing of bi-weekly payroll including updates to benefit deductions.
  • Bi-weekly preparation of payroll journal entry and uploading into Financial Edge for approval and posting.
  • Bi-weekly uploads of H.S.A. and 401(k) deductions.
  • Monthly reconciling of benefit invoices, including entering into Financial Edge for payment approval.
  • Monthly preparation of grant invoices and support documentation.
  • Prepares journal entries to correct salary allocations and related benefits.
  • Monthly preparation of time and effort certification reporting.
  • Reviews and reconciles the 941s and W-3 for accuracy.
  • Accurately prepares employment/loan forgiveness verifications.
  • Serves as the subject matter expert on the payroll software including the development of efficient processes in accordance with industry best practices.
  • Ensures organization is in compliance with payroll related laws and regulations.
  • Oversees the Health Savings Account program including assisting employees with enrollment.
  • Oversees the review and issuance of employees' W-2 forms.
  • Participates actively in the annual open enrollment for employee benefits. Works closely with HR to ensure accurate deductions related to open enrollment.
  • Participates actively in the annual 401k audit.
  • Assists with timely and accurate month-end closing procedures.
  • Assists and contributes to the development and improvement of standard operating procedures (SOPs)
  • Actively participates in and contributes to the monthly finance department meetings.
  • Assist with other general accounting work of the agency as needed.
  • All other duties as assigned.

POSITION REQUIREMENTS

Education:

  • Bachelor's degree in accounting or related field required.

Work Experience:

  • Payroll experience preferred.
  • General ledger and benefit account reconciliations preferred.
  • Experience working in Paycom and/or Blackbaud/Financial Edge preferred.
