Position Description

Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.

Major/Essential Functions

  • Maintains all aspects of the departmental procurement cards
  • Compiles and maintains confidential office files and records for office staff.
  • Schedules and place all work and maintenance orders.
  • Process ePAF's, job postings, and related Human Resources documentation.
  • Serves as a hiring manager.
  • Researches/purchases supplies and equipment as necessary through TechBUY.
  • Expense tracking, vendor billing issue resolution, submission of expenses through the TTUHSC AR system for payment.
  • Process all PO renewals of current purchase orders and new purchase order contracts for the following fiscal year.
  • Process all travel for Business Office staff within TTUHSC policy.
  • Serves as Unit Safety Officer for Business Office.
  • Researches Sr. Managing Director's various inquiries as needed.
  • Assist with projects as assigned by Sr. Managing Director to improve Business Office operations.
  • Custodian of MPIP policies and procedures maintaining, organizing, updating, and publishing department's policies and procedures.
  • Acts as the Business office's property manager delegate, and assist the Property Manager with Annual certification of TTUHSC property.
  • Process bi-weekly payroll exports and any requisite corrections.
  • Maintain all aspects of the MPIP website.
  • State Employee Charity Contribution (SECC) Coordinator aids the TTUHSC reach the annual collection goal. Aids the departmental employees navigate the process of donating and answer any and all questions.
  • Assists Sr. Managing Director with any and all requested budget reporting.
  • Assists the Sr. Managing Director with event planning, as needed.
  • Coordinates Departmental IT needs with institutional support.
  • Provides support to the Leadership team and supervisors with various request.
  • Proficient in Microsoft office suite and Adobe.


Required Qualifications

Bachelor's degree plus two (2) years related experience; OR a combination of education and/or progressively responsible related experience to equal six (6) years.
