Essential functions (job duties):

The Box Office Supervisor oversees all ticket sales and event programming for the organization. The primary areas of responsibility include event programming and ticket sales, providing outstanding customer service to patrons for departmental events, and financial tracking, reporting, and box office operations at CFPCA venues during events.

TICKETING & EVENT MAINTENANCE

Program ticket sales and registrations for CFPCA’s productions, special events, and student matinee programs within the ticketing system.

Program ticket sales and registrations for events in the Gretchen C. Valade Jazz Center and the Dee Dee Bridgewater Jazz Café.

Program and manage an online RSVP system for events in the Elaine L. Jacob Gallery and Art Department Gallery.

Ensure online sales are always working properly without interruption.

Provide customer support to CFPCA patrons, including facilitating ticket sales, exchanges, and answering questions about CFPCA events, assisting patrons with special requests (i.e., accessible seating requests, hearing devices, gift certificate voucher redemption, etc.).

Facilitate group sales, promotional offers, ticketing for VIPs, and staff comp requests. Facilitate special orders at the request of the Chairs of the Maggie Allesee Department of Theatre & Dance or Department of Music, the Dean of the College, or the members of the Development team of the College.

Prepare rosters of groups for the front of house manager prior to student matinee performances. Assist marketing and engagement managers in audience development strategies.

MANAGEMENT

Oversee and develop business operations for managing the box office operations for the College of Fine, Performing & Communication Arts.

Recruit, hire, train, evaluate, supervise, schedule, and manage student staff for the box office operations.

Oversee and train front of house management for productions being ticketed by the box office.

Integrate with the Hilberry Gateway Building Coordinator to oversee the facilities with University Facilities, Planning & Management.

VENUE OPERATIONS

Manage venue box offices and ticketing operations during performance runs at the Hilberry Gateway or Gretchen C. Valade Jazz Center by facilitating ticket sales and customer support at the venues, and resolving any seating concerns from patrons, and working with front of house managers to always provide excellent customer service to our patrons.

Track and report expected and actual attendance numbers for front of house manager and venue staff before and after the show.

Facilitate advance ticket sales for on-sale events and season subscriptions prior to the show and at intermission.

Prepare and print will call and any special orders for pick up at the venue.

FINANCE AND SALES REPORTING

Prepare daily credit card sales reconciliation.

Log and deposit check payments and subsequent reporting.

Reconcile and deposit cash payments received from the box office, rentals, department tours, and donations.

Track and provide weekly event sales summary.

Provides detailed analysis and reporting as needed. Maintain payment gateways and work with service providers as needed to troubleshoot any issues.

PROGRAM OPERATIONS

Manage the patron database in the ticketing CRM to provide detailed event & patron analysis and reporting as requested by CFPCA leadership.

Assist with database imports and provide internal database support as needed.

Evaluate ticketing trends to assist in promotions of production season; assist in the development of revenue goals for subscription and single tickets.

SUBSCRIPTION SERVICES

Manage all aspects of season subscription packages including programming packages within ticketing system, prepare renewal mailings and facilitate sales from April – October.

Oversee all aspects of active season subscriptions seats including changes to subscriptions, seating, printing and distribution of tickets, subscriber exchanges throughout the season.

Prepare annual messaging for subscription holders. Prepare any discount or promo codes.

SPECIAL EVENTS

VIP EVENTS: Manage ticket sales, seating, and event related sales; Provide support to VIP and gala sponsors/producers; Oversee event check-in; provide sales tracking.

Perform other related duties as assigned.

Qualifications:

Education: Bachelor's degree

Experience: Intermediate (3 to 4 years job-related experience)

ANALYTICAL SKILLS - Ability to compare, contrast and quality check work with a keen attention to detail. Strong analytical skills, including critical thinking, problem-solving skills, strong organization skills.

KNOWLEDGE, SKILLS & ABILITIES: Knowledge of business principles and practices, budgeting, scheduling, and monitoring work etc.

TECHNOLOGY SKILLS – proficient in the use of Microsoft systems and university systems.

COMMUNICATION SKILLS- Excellent written, oral, presentation and interpersonal communication skills. Ability to work through and with others at all organizational levels to ensure work is completed and met objectives are met.

Preferred qualifications:

Experience in both theater and music venues (different artist/patron cultures, varied nomenclature, outreach/marketing techniques, performance protocols and timelines, diverse venue goals/stat. analysis/logistics). Experience with modern events logistics software (in Music the leader is “FestivalPro” which contains and cross-references events calendars, artist itineraries, ROS, tech riders, backline needs/use/inventory, staff assignments, marketing materials, media, registration forms/tracking, ticketing, communications, e-blasts/social posts).
