This position is responsible for the overall daily balancing and assignment of guestroom inventory. As well, this position works closely with the Front Desk Managers to provide guidance and support to the Front Desk staff as well as impact the overall guest satisfaction at the Hotel del Coronado.

Essential duties and responsibilities:

  1. Maintain inventory balance of hotel guestroom accommodations throughout each day.
  1. Make sure specialty rooms and VIP’s are blocked
  2. Upgrade VIP travel agency reservations
  3. Print Guest Request Report and action
  4. Communicate pertinent information with Front Office, Housekeeping and Guest Relations
  1. Works closely with the Front Desk staff to move inventory in an effort to accommodate on-the-spot guest requests; major guest-impact area.
  2. Supports the Front Desk staff by assisting guests at the front desk during any times of need
  3. Focus on the daily assignment/pre-blocking of guestrooms to accommodate the special requests for group and leisure guests.
  4. Coordinate and ensure the equitable rotation of like condo units in each property is managed as required by the applicable condo unit rental agreements. Works with the designated finance/accounting manager to ensure manual assignment of condo units, when needed, to ensure revenue is equitable by room type.
  5. Monitor pending rooms by consistently checking the room status and contacting guests via Kipsu or phone call when rooms become available
  6. Establish open lines of communication with group contacts to ensure overall hotel satisfaction. Attend to the needs of each meeting planner by:
    1. Meeting and greeting group contacts during the check-in process.
    2. Reviewing current rooming lists with group contacts, attending to cancellations and additions as well as any special requirements for room assignments.
    3. Delivering no-show reports and reinstating reservations as required.
    4. Attending pre-convention meetings and internal group resume meetings.
  7. Review all group resumes and create a weekly, comprehensive overview document to ensure all Front Desk and Guest Services staff are aware of group requirements and expectations (i.e. special parking arrangements, resort fee information, arrival/departure flow, etc.).
  8. Communicate with Conference Managers and Group Account Specialists to ensure the needs of in-coming groups, as well as those of affiliated VIP guests, are met and attended to.

  1. Work with group reservation on over sold specialty rooms
  1. Review and ensure accuracy of group billing.
  2. Pre-register groups as required.
  3. Coordinate the Satellite Group Registration desk.
  4. Coordinate the assignment of show rooms with the Housekeeping and Sales departments on a daily basis.
  5. Coordinate the return of out-of-order accommodations; work closely with involved departments to ensure accommodations are cleaned and ready as required.
  6. Works closely with the Front Desk Managers, supplementing their efforts by fielding guest calls as necessary.
  7. Regularly acts as a “go-to person” for the Guest Service Agents in the absence of the Front Desk Manager and/or Front Desk Supervisor, providing guidance as required.
  8. Trains Guest Service Agents in each of the following areas:
    1. Group Resume familiarity; interpretation of information contained in each resume and application of this information to the arrival and departure process.
    2. The control of guestroom inventory, which includes the movement of inventory and the upgrading of accommodations and the impact of these upgrades to our overall bottom-line profitability.
  9. Other duties as assigned

Education and/or Experience:

The ideal candidate would have one to two years of Front Desk and/or Reservations experience with comprehensive knowledge of hotel inventory control as it relates to overall rooms profitability and guest satisfaction. Additionally, thorough and extensive working knowledge of the OnQ PMS system is required. The desired candidate can easily multi-task and work under extreme pressure.

The hourly rate for this role ranges from $21/hr. to $23/hr. depending on experience.
