Position Description

The Benefits Coordinator provides coordination support to the Benefits team and programs, including active and retiree plans for health and welfare benefits, as well as employee wellness, employee leave, retirement, and other related benefit programs. Performs moderately complex, routine, and/or confidential transactional tasks for the Benefits team. Working in collaboration with others helps create greater process efficiency and continuity across Benefits functions. Performs exemplary customer service and assistance to employees, leaders, HR Business Partners (HRBPs), HR Centers of Expertise (COEs), and the HR Solutions Center (HRSC). 

Position-Related Responsibilities

Benefits Coordination:

  • As directed, performs transactional tasks related to the administration of health & welfare plans and trust accounts, wellness, leave, and retirement programs; may include support related to record keeping, data maintenance, data file management, reporting, compliance, disclosures, enrollment, communication with vendors, claim management, tracking, and partnership with Payroll and other Human Resources (HR) teams.
  • Collects, organizes, and maintains information, including that which is highly confidential and sensitive; may perform project tasks involving data collection and analysis. 
  • Maintains and ensures accuracy of employee data in related systems; adheres to governance policies and systems. 
  • In coordination with others, performs assigned tasks to design and execute communications for the team, including current and future intranet presence; may include editing, printing, coordination of materials, and distribution or mailings to current employees and retirees.
  • Provides coordination and support for on-site or remote employee, leader, and retiree education sessions, workshops, fairs, and activities sponsored by the Benefits department; may include scheduling, logistics, room set-up, refreshments, technical support, core communications, etc.
  • Directs employees or HR peers to Benefits resources that meet their needs. 
  • Fulfills routine and ad hoc reporting requests including gathering data in support of actuarial valuations; may be requested to summarize data and/or create charts and graphs.
  • Gathers data in preparation for various compliance filings, reporting, and notice requirements governed by the IRS, DOL, SEC and other governing bodies and assists in the execution thereof.
  • Prepares data to support audits, compliance activities, and Rate Cases for TEP, UEE, and UEG; may assist in maintaining working papers for audits.
  • Prepares data to support labor agreement negotiations for Tucson Electric Power (TEP), Unisource Energy Services Electric (UEE) and Unisource Energy Services Gas (UEG).
  • Supports effective use and management of systems that enable Benefits, Total Rewards, and/or Human Resources team operations; provides user guidance and support, as appropriate.
  • Produces documents, graphics, spreadsheets, and other materials. 
  • On behalf of the Benefits team, processes third-party vendor invoicing; creates vendor purchase orders and coordinates with internal/external procurement and accounting representatives.
  • Supports office supply and materials ordering; processes purchase orders and requisitions for goods required for the team.
  • Participates in HR technology/system design, testing, upgrade, and/or enhancement.

Team Contribution & Collaboration:

  • Partners with or requests assistance from the HR Solutions Center (HRSC) for transactional support services in alignment with their scope of responsibility.
    • Initiates or responds to assigned escalated tickets from the HRSC according to service level agreement standards; prioritizes the employee experience and escalates as appropriate.
    • Performs personal administrative tasks (e.g., travel arrangements, pro cards, expense reports), calendaring, vendor management, and assigned administrative responsibilities.
  • Partners with or requests assistance from the HR Systems & Analytics team for HR systems support, data and reporting needs in alignment with their scope of responsibility.
  • Contributes to the design, development, documentation, and continuous improvement of Total Rewards and HR processes and procedures; adheres to approved processes and quality standards.
  • Assists with Total Rewards and HR initiatives, programs/processes and special projects, as assigned.
  • Performs other duties as assigned.
  • This position may provide services to affiliates of the Company subject to the UNS Energy Code of Conduct and the related Policies and Procedures.
      

Knowledge, Skills & Abilities

(Equivalent combination of education and experience will be considered.)

Minimum Qualifications: 

  • High school diploma or GED
  • Minimum two (2) years of experience in a Benefits Coordinator or related HR role, or an equivalent combination of education and experience.
  • Strong analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
  • Ability to prioritize work in a dynamic environment and adapt to change.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy. 
  • Must have proficient experience in a variety of computer software applications in word processing, spreadsheets, and relational databases (Microsoft 356, PeopleSoft or other HRIS system, preferred). 
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.

Preferred Qualifications:

  • Associates degree or higher.
  • Three to five years previous administrative experience with some exposure to labor and employment law, as it relates to employment practices, personnel policies, and benefits administration, or equivalent combination of education and experience.
