Position Summary

The Operations Coordinator for Event Transportation will play a critical role in supporting our Event Transportation division. This position ensures that all stages of client engagement, from initial inquiry to program close, are managed with professionalism, accuracy, and courtesy.


Key Responsibilities

  • Client Support and Program Management
  • Provide day-to-day support to the Event Transportation division, collaborating with the broader operations team as needed.
  • Ensure a high level of client satisfaction by managing all aspects of the transportation program lifecycle, including planning, onsite execution, and post-program audits.
  • Respond to client inquiries, assess requirements, and design customized “outline of services” proposals for review.
  • Vendor Coordination and Costing Analysis
  • Conduct competitive sourcing for transportation and support services through a network of vetted vendors.
  • Develop detailed costing analyses for each program to align with client requirements and ensure profitability.
  • Prepare and distribute program briefings, routing directions, and necessary collateral to all involved stakeholders.
  • Financial and Project Management
  • Process invoices, handle deposit requests, and finalize billing after program audits.
  • Review profit and loss reports for final invoicing and closure.
  • Contribute to project management tools, monitor industry trends, and recommend improvements for operational efficiency.
  • Additional Responsibilities
  • Maintain confidentiality of sensitive company and client information.
  • Provide phone coverage and promptly respond to digital inquiries.
  • Represent the organization at industry and community events as required.
